# Late order apology email prompt: free ChatGPT template

Use this when you know an order will be late or short and want to tell the customer before they chase you. It fits shops, distributors and online stores. The trap is the date: your supplier hasn't confirmed one, the customer wants one, and an AI will cheerfully write "arriving Friday." This prompt separates timing you've confirmed from timing you're hoping for, and keeps the second kind out.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

## Fill in the blanks

**`[BUSINESS]`**

Your company name and what you sell.

**`[CUSTOMER]`**

The customer, or the business and contact person for a trade account.

**`[ORDER]`**

Order number, items, quantities and the date you originally promised.

**`[WHAT HAPPENED]`**

The real cause in one sentence: a supplier shipped short, a machine broke, you oversold.

**`[CONFIRMED TIMING]`**

Only dates you'd bet on: what ships today, a tracking number, a date the supplier put in writing. None yet? Say so, plus the day you'll update them.

**`[OFFER]`**

What you've approved (free shipping, a credit) or "nothing beyond the apology." Leave it blank and the AI may invent one.

## What a good answer looks like

- A subject line Tanya can act on, like "Order 7718: 8 of 20 rolls arrive tomorrow."
- The good news first: paper towels and 8 rolls arrive tomorrow.
- An honest gap: no date yet for the other 12, and a firm update by Thursday, Oct 8.
- The free second delivery stated once, and no supplier name.

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Check every date: Oct 5 ships, Oct 6 arrives, Oct 8 update. "Early next week" for the missing rolls was made up and has to go.
- Do the quantity math: 8 shipped plus 12 to come equals the 20 ordered. Drafts often say "the remaining rolls" and drop the number.
- Search for "expedite," "priority" and "guarantee." You promised a free delivery, not faster handling.
- Make sure the offer didn't grow: "no charge on the second shipment" is not "free delivery on your next order."

## Why this prompt works
