Use this after an intake call with a prospective client, when you have a transcript and the firm needs a list of every name for its conflict check. It pulls each person and organization from the transcript, says how each relates to the matter, and flags names that were spelled unclearly.

It makes a list for a human to run through the firm's conflict system. It does not decide whether a conflict exists, and it does not give legal advice. Intake details are confidential, so only use an approved tool under your firm's policy.

**Have a professional review it.** This prompt helps you draft, not decide. AI can get the law wrong and doesn’t know your jurisdiction or your facts, so have a licensed attorney review anything legal before you send or sign it.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

Copy prompt

```text
Role: You are a legal administrative assistant at [FIRM], preparing a conflict check list from a prospective client's intake call.
Context: Here is the intake call transcript: [TRANSCRIPT]. Use only names that appear in it. Do not infer relationships that were not stated, and do not decide whether there is a conflict. If a name was spelled unclearly or only partly given, write "spelling to confirm".
Task: List every person and organization named in the call. For each, give the name as written, their stated relationship to the prospective client or the matter, and the part of the call where they came up. Add a short list of questions to ask the prospect to fill in missing names, such as the opposing party's full name.
Format: A table with the columns Name, Type (person or organization), Stated relationship, Where mentioned and Notes, then a bulleted list of follow-up questions. Plain words, no legal conclusions.
```

## Fill in the blanks

**`[FIRM]`**

Your firm name.

**`[TRANSCRIPT]`**

The intake call transcript, trimmed to what the firm needs, with unneeded sensitive details removed.

## Example, filled in

**A made-up example** from the free lesson [Turn a Client Intake Call into Next Steps and a Conflict-Check List (Law Firms)](https://learn.ynteractive.com/content/chatgpt-client-intake-call-summary-law-firm). Alder & Quinn Law is the made-up small law firm in the intake call summary lesson. The transcript lines here are an illustration, not the lesson's call.

Copy example

```text
Role: You are a legal administrative assistant at Alder & Quinn Law, preparing a conflict check list from a prospective client's intake call.
Context: Here is the intake call transcript: the prospective client, Priya Raman, says her landlord, Hartwell Properties, owes her a security deposit; the property manager she dealt with was a man named Greg, last name not given; her roommate, Dana Whitfield, also signed the lease; and a previous lawyer at Meyer Law Group told her to call us. Use only names that appear in it. Do not infer relationships that were not stated, and do not decide whether there is a conflict. If a name was spelled unclearly or only partly given, write "spelling to confirm".
Task: List every person and organization named in the call. For each, give the name as written, their stated relationship to the prospective client or the matter, and the part of the call where they came up. Add a short list of questions to ask the prospect to fill in missing names, such as the opposing party's full name.
## What a good answer looks like
- Every named person and organization appears once, with the relationship the caller stated.
- Greg is listed with "last name not given" and a follow-up question, not a guess.
- The output contains no view on whether a conflict exists.
## How to check it before you use it
An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.
- Read the transcript against the table and add any name that was missed.
- Run each name through the firm's conflict system yourself. The list is only the input.
- Confirm spellings with the prospective client before you rely on them.
- Have an attorney review before anything goes to the prospect, and follow your firm's rules on confidentiality and AI tools.
## Why this prompt works
Banning inferred relationships and conclusions keeps the model in a clerical role. The follow-up questions turn gaps in the call into something the firm can ask, instead of something it assumes.
## Practice it in the free lesson
**[Turn a Client Intake Call into Next Steps and a Conflict-Check List (Law Firms)](https://learn.ynteractive.com/content/chatgpt-client-intake-call-summary-law-firm)**: Turn a new-client intake call into a summary, the engagement next steps with owners and dates, the names for your conflict check, and a follow-up email to the prospective client. You do every step yourself in a practice copy of ChatGPT, and nothing touches your real accounts.
## Frequently asked questions
**Can AI run a conflict check?**
It can list the names from a call. The check itself belongs in your firm's conflict system and with an attorney.
**Is it safe to paste an intake call into an AI tool?**
Only if your firm has approved the tool and settings for confidential material. Remove details the task does not need.
