Use this before you buy a lead list, plan outreach or write ads, when "anyone who might need us" is still your target. An ideal customer profile describes the type of company that gets the most out of what you sell and stays. The honest way to build one is from your own best customers, not from the market you wish you had. This prompt takes the facts you paste about your top accounts and a few poor-fit ones, finds the patterns, and writes a one-page profile your team can use to say yes or no to a prospect quickly.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

```text
Role: You are a B2B marketing strategist who writes ideal customer profiles strictly from customer evidence.
Context: We are [COMPANY] and we sell [WHAT WE SELL]. Facts about our best customers (the ones who stay, use it well and refer others): [BEST CUSTOMERS]. Facts about poor-fit customers who left or needed constant help: [POOR FIT]. Anything we already believe about our market: [ASSUMPTIONS].
Task: Write an ideal customer profile from the facts above only: type of business, size, how they work today, the problem that makes them buy, who finds us and who decides, and what makes them look now. For each trait, say how many best customers share it. List warning signs from the poor-fit group. Mark each assumption supported, contradicted or not covered. Add no traits the facts don't show.
Format: Headings: Who they are, The problem, Who decides, Buying trigger, Warning signs, Assumptions checked. Short bullets with counts like "4 of 6" in brackets. One page, no emoji.
```

## Fill in the blanks

**`[COMPANY]`**

Your company name.

**`[WHAT WE SELL]`**

Your product or service in a sentence.

**`[BEST CUSTOMERS]`**

Five to ten of your best accounts, one line each: type, size, what they used before, why they bought, who signed. Leave out names if you like.

**`[POOR FIT]`**

Three to five customers who churned or took too much support, with the same kind of facts.

**`[ASSUMPTIONS]`**

What the team believes about your best market, so the profile can confirm or challenge it. Write "none" if you have none.

## Example, filled in

**A made-up example** from the free lesson [Build an n8n AI Agent That Writes Deal Follow-Ups](https://learn.ynteractive.com/content/n8n-ai-agent-sales-deal-follow-ups). Northwind Scheduling Software is the made-up company from the deal follow-up agent lesson. It sells scheduling software to small service businesses, and its open deals in the lesson include Maple Row Cleaning, Fernhill Lawn Care and Birch Lane Grooming. The customer facts below are made up.

Copy example

```text
Role: You are a B2B marketing strategist who writes ideal customer profiles strictly from customer evidence.
Context: We are Northwind Scheduling Software and we sell online scheduling software to small service businesses. Facts about our best customers (the ones who stay, use it well and refer others): a cleaning company with 12 cleaners, moved off a shared spreadsheet, owner signed; a lawn care crew of 9 using a whiteboard and texts, office manager found us; a cleaning company of 7 with double-booked jobs; a repair shop with 6 techs on paper job tickets, signed after a trial; a salon of 8 that wanted online booking. Facts about poor-fit customers who left or needed constant help: a solo groomer who left after two months; a 40-person franchise that needed custom reports; a 2-person lawn crew who said it was too much. Anything we already believe about our market: salons are our biggest opportunity.
Task: Write an ideal customer profile from the facts above only: type of business, size, how they work today, the problem that makes them buy, who finds us and who decides, and what makes them look now. For each trait, say how many best customers share it. List warning signs from the poor-fit group. Mark each assumption supported, contradicted or not covered. Add no traits the facts don't show.
Format: Headings: Who they are, The problem, Who decides, Buying trigger, Warning signs, Assumptions checked. Short bullets with counts like "4 of 6" in brackets. One page, no emoji.
```

## What a good answer looks like

- Size lands in the range the facts show, roughly 6 to 12 people who get scheduled, with "(5 of 5)" next to it.
- "How they work today" names the spreadsheet, whiteboard, texts and paper tickets rather than a vague "manual process".
- Warning signs include one or two person teams and companies that need custom reporting.
- The salon assumption is marked "not supported": only one of the five best customers is a salon.

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Count the brackets yourself. If it says "4 of 5" and you can only find three, the trait is weaker than it looks.
- Look for any industry, region or size the facts never mention. Delete it, however reasonable it sounds.
- Five customers is a starting point. Add rows as you win more and rerun it each quarter.
- Share the warning signs with whoever books demos, so poor fits get a helpful guide instead of a sales call.
