# Fix reply tone prompt: free ChatGPT template

> A ChatGPT prompt that fixes the tone of a draft (too stiff, too defensive, too long) while keeping every fact, number and "we can't" exactly as it was.

Use this when a reply is accurate but sounds wrong: cold, defensive, robotic or rambling. "Make it better" is a risky request, because a rewrite can quietly change facts, and a warmer rewrite tends to soften every "we can't" into a "we'll try." This prompt names the specific tone problems, lists the facts that must survive word for word, and asks for a list of what changed so you can review the edit.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

## Fill in the blanks

**`[BUSINESS]`**

Your business name and what kind of firm you are.

**`[TONE PROBLEMS]`**

Specific, not "make it nicer": which phrases sound cold, where it blames, what it opens with.

**`[TARGET TONE]`**

A few words and a picture: "calm and warm, like a local firm that knows him."

**`[MUST KEEP]`**

Every fact that can't change, especially limits and refusals. Want an apology added? Put it here as a fact.

**`[LENGTH]`**

A word limit, such as 200 words.

**`[DRAFT REPLY]`**

The accurate but badly toned draft.

Northgate Tax & Bookkeeping is the made-up firm in the Reply Faster lesson for tax and bookkeeping firms, where Greg wants a refund date. This made-up draft has the lesson's facts but sounds like a form letter.

## What a good answer looks like

- "As previously stated" and both "per our policy" lines gone.
- The August point said kindly: an easy mix-up, and here's where the real form lives.
- One line acknowledging the tuition worry, without a date.
- A What changed list you can scan in ten seconds.

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Compare the Must Keep list line by line with the new version. The warm rewrite is exactly where "we can't promise a refund date" turns into "it should arrive in a few weeks."
- Check the refusals survived: no bank numbers by email, portal only.
- Read What changed and look for anything that isn't tone, like a new fact or a new apology. You didn't ask for either.
- If it's still not right, name the next specific change. Small, named edits beat a second "make it better."
