# Estimated tax payment reminder prompt: free ChatGPT template

Use this a couple of weeks before a quarterly estimated payment is due, for self-employed clients and business owners your firm set up with a payment plan. A short, specific reminder beats a generic "don't forget your estimates" blast. The AI must not do the tax work: no recalculating the amount, no guessing at penalties, no advice on whether to pay more. This prompt uses only the amounts and dates your firm already prepared, and sends any "should I change it?" question to a person.

**Have a professional review it.** This prompt helps you draft and organize, not give tax advice. Tax rules change and depend on the client, so have a CPA or enrolled agent review anything about taxes before it goes out.

- Two lines at the top: federal $2,400 and state $650, both due Friday, Jan 15, 2027.
- "Pay online the same way you did in September," not a new method.
- Both "call us first" triggers, so Marcus checks in before paying if his income changed.
- No penalty warnings and no advice about paying extra.

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Check every promise and amount against the plan your CPA or enrolled agent prepared. A rounded or recalculated number is a mistake, even if it looks reasonable.
- Confirm the due dates for this year, including any weekend or holiday shift, before the reminder goes out.
- Delete lines like "paying late could cost you" unless your firm wrote that wording.
- Keep Social Security numbers and account numbers out of the prompt and the email.

## Why this prompt works

This prompt treats your plan as the only source of numbers, which is the right split of work: people do the tax, AI does the wording.
