To summarize a customer complaint log with ChatGPT, export the log for the period, paste or upload it with the prompt below, and you get complaints grouped by type with counts, repeat customers, cases still open, and the three patterns worth fixing first. A complaint log only helps if someone reads it as a whole. One late delivery is an apology. Fourteen late deliveries from the same carrier is a meeting agenda item, and the summary makes that visible.

The prompt counts and groups. It does not decide who was at fault or promise customers anything. For the reply to a single upset customer, use the [customer complaint reply prompt](https://learn.ynteractive.com/content/prompts/customer-complaint-reply-prompt). To bring the patterns into a team review, the [weekly ops review lesson](https://learn.ynteractive.com/content/chatgpt-weekly-operations-meeting-recap) shows how to turn them into owners and dates.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

Copy prompt

```text
Role: You are helping the [YOUR ROLE] at [BUSINESS] summarize our customer complaint log for [PERIOD].
Context: Below is the log. Each row is one complaint. Use only these rows. Group complaints into types based on what customers said, and tell me the types you used. Do not name a cause unless the log states one, and do not judge any staff member.
Task: Give: total complaints, a count by type, customers who complained more than once, cases still open with how long they have been open, and the three patterns that look most worth fixing, each with the count behind it. End with questions I should ask the team.
Format: A small table by type with counts, then short headed lists. Under 300 words. Customer names only where needed for open cases. No made-up percentages.
Complaint log:
[COMPLAINT LOG]
```

## Fill in the blanks

**`[YOUR ROLE]`**

Who reads the log, such as "customer service lead" or "operations manager."

**`[BUSINESS]`**

Your business name and what you sell.

**`[PERIOD]`**

The dates the log covers, such as September 2026.

**`[COMPLAINT LOG]`**

Date, customer, what they said, status and any notes. Remove card numbers, home addresses and phone numbers.

## Example, filled in

**A made-up example** from the free lesson [Run a Weekly Ops Review Where Every Task Has an Owner using ChatGPT](https://learn.ynteractive.com/content/chatgpt-weekly-operations-meeting-recap). Fairline Supply Co. is the made-up office supply distributor in the weekly ops review lesson, where Imani, the operations manager, deals with late deliveries, a box shortage and a returns backlog. Here she summarizes September's complaint log before the review. The rows are an illustration.

Copy example

```text
Role: You are helping the operations manager at Fairline Supply Co., an office supply distributor, summarize our customer complaint log for September 2026.
Context: Below is the log. Each row is one complaint. Use only these rows. Group complaints into types based on what customers said, and tell me the types you used. Do not name a cause unless the log states one, and do not judge any staff member.
Task: Give: total complaints, a count by type, customers who complained more than once, cases still open with how long they have been open, and the three patterns that look most worth fixing, each with the count behind it. End with questions I should ask the team.
Format: A small table by type with counts, then short headed lists. Under 300 words. Customer names only where needed for open cases. No made-up percentages.
Complaint log:
Sep 2 | Lakeview Law | order 2 days late | closed
Sep 4 | Harbor Dental | toner box crushed | closed, replaced
Sep 9 | Lakeview Law | late again, no tracking email | open
Sep 15 | Oak Street Accounting | refund for return not received | open
... (38 rows total)
```

## What a good answer looks like

- A table with types such as late delivery, damaged item and return or refund delay, and a count for each.
- Lakeview Law listed as a repeat customer, with both dates.
- Open cases with days open, such as Oak Street Accounting's refund, so the oldest gets attention first.
- Patterns stated as counts, like "late delivery, 14 of 38," with no claim about why.

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Count one type yourself in the log. Grouping by meaning can drift, so check the edges.
- Look at the types the AI chose. Merge or split them so next month uses the same ones.
- Confirm open cases are still open in your system before you chase anyone.
- Take the patterns to the people who do the work before deciding on a fix.

## Practice it in the free lesson

**[Run a Weekly Ops Review Where Every Task Has an Owner using ChatGPT](https://learn.ynteractive.com/content/chatgpt-weekly-operations-meeting-recap)**: Turn a weekly operations and vendor review into the decisions, the next steps with owners and dates, the risks to watch and a team recap, without turning a vendor's "should" into a promise. You do every step yourself in a practice copy of ChatGPT, and nothing touches your real accounts.

## Frequently asked questions

**How do I summarize a customer complaint log?**

Group complaints by type and count them, list repeat customers and open cases with their age, then pick the two or three patterns with the biggest counts to fix first. A prompt can do the grouping; you check the counts.

**Can ChatGPT analyze customer complaints?**

Yes. Upload or paste the log and ask it to group by what customers said and to show the count behind every pattern. Tell it not to guess causes or judge staff.

**What should a complaint log include?**

The date, the customer, what they said in their words, the status and what was done. Without the status column, a summary can't tell you what is still open.
