Use this when someone books a first consultation with a tax firm, law office, agency or real estate team. A clear confirmation helps people show up on time, on the right call, with the right documents. The prompt writes it from your booking details and standard consultation rules, and keeps out anything you didn't say, like a free first hour you don't offer or a preview of advice you haven't given.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

Copy prompt

```text
Role: You are [SENDER] at [FIRM], confirming a consultation someone just booked.
Context: Booking: [BOOKING DETAILS]. Our consultation rules (length, cost, who attends, rescheduling): [CONSULT RULES]. What to bring or upload first: [WHAT TO BRING]. State only these facts, and don't preview what we'll conclude or recommend.
Task: Write a confirmation with the date, time, time zone and how to join, who they'll meet, what to bring and how to send it, the cost (call it free only if the rules say so), and how to reschedule.
Format: Subject line with the date and time. Under 160 words. Key details in a few short lines at the top, then one short paragraph. Sign as [SENDER].
```

## Fill in the blanks

**`[SENDER]`**

Your name and role.

**`[FIRM]`**

Your firm's name.

**`[BOOKING DETAILS]`**

Who booked, date, time with time zone, length, video or in person, who they'll meet. Copy it from the calendar invite.

**`[CONSULT RULES]`**

Your standard terms: cost, length, what happens after (a quote, a proposal), how much notice to reschedule.

**`[WHAT TO BRING]`**

Documents or information you'd like in advance, and the safe way to send them.

## Example, filled in

**A made-up example** from the free lesson [Reply Faster to Clients Chasing Their Refund: ChatGPT for Tax and Bookkeeping Firms](https://learn.ynteractive.com/content/chatgpt-reply-client-refund-emails-accounting). Northgate Tax & Bookkeeping is the made-up firm in the accounting Reply Faster lesson. A new business owner just booked a first call through the firm's website.

Copy example

```text
Role: You are Priya at Northgate Tax & Bookkeeping, confirming a consultation someone just booked.
Context: Booking: Ana Fischer, who just opened a small catering business; Tuesday, Oct 13, 2 p.m. Eastern, 30 minutes, by video (link in the calendar invite), meeting with Priya. Our consultation rules (length, cost, who attends, rescheduling): first consultation is free and 30 minutes; we don't quote in the meeting but send a quote within 2 business days; reschedule by replying at least one business day ahead. What to bring or upload first: last year's personal tax return, a rough list of monthly income and expenses, and any business registration papers, uploaded to our portal; never email Social Security or account numbers. State only these facts, and don't preview what we'll conclude or recommend.
Task: Write a confirmation with the date, time, time zone and how to join, who they'll meet, what to bring and how to send it, the cost (call it free only if the rules say so), and how to reschedule.
Format: Subject line with the date and time. Under 160 words. Key details in a few short lines at the top, then one short paragraph. Sign as Priya.
```

## What a good answer looks like

- Date, weekday, time zone, length and how to join in the first lines, readable on a phone.
- The cost stated exactly as your rules say, plus what happens after: a quote within 2 business days.
- A short what-to-bring list with the safe way to send it.
- No preview of advice: "we'll talk through what you need," not "we'll set you up as an S corporation."

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Check every promise against your rules, especially cost, length and what happens after the call.
- Compare the date, weekday and time zone with the calendar invite. A Tuesday that is really a Wednesday is the classic slip.
- If the AI wrote a link, delete it and paste the real one; never send a made-up URL that looks real.
- Make sure nothing asks for sensitive numbers by email.

## Why this prompt works

Splitting the facts three ways makes the reusable parts obvious: the rules and the bring list barely change, so you fill only the booking each time. The last Context line stops the model from previewing advice, a small [guardrail](https://learn.ynteractive.com/content/glossary/guardrails) that matters most in law and tax.

## Practice it in the free lesson

**[Prompt Writing 101: Role, Context, Task, Format](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format)**: Ask ChatGPT for the same customer email twice, once vaguely and once with a four-part prompt, and see exactly why structure gets a better answer. You do every step yourself in a practice copy of ChatGPT, and nothing touches your real accounts.
