# Client kickoff agenda prompt: free ChatGPT template

Use this the day before the first meeting with a new client, when you know the project but haven't planned how to run the hour. A good kickoff settles five things: the goal, the scope, who owns what, the dates and how you will communicate. This prompt sorts your project facts into a timed agenda and adds the questions you should ask in the room, so the meeting ends with owners and dates instead of good intentions.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

## Fill in the blanks

**`[CLIENT]`**

The client's company name.

**`[PROJECT]`**

What you are doing for them, in a sentence.

**`[ATTENDEES]`**

Names and roles on both sides. The agenda assigns a leader to each item, so this matters.

**`[LENGTH]`**

How long the meeting is, such as "60 minutes".

**`[GOAL]`**

The result you promised in the proposal, copied as written.

**`[OPEN ITEMS]`**

Access, logins, files or decisions you are waiting on.

A freelance marketing consultant (made-up) has just been hired to run its campaign planning and is about to hold the first meeting.

## What a good answer looks like

- Time boxes that add up to exactly 45 minutes, with the last five spent confirming actions.
- Each row names a leader (Maya, Luis or you) rather than leaving it open.
- The open items you listed show up as a specific agenda line, not buried in "other".
- Questions you hadn't thought of, such as who approves a post and how quickly.

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Add up the minutes. Models are bad at arithmetic, and a 55-minute agenda in a 45-minute slot gets cut from the end, where the actions are.
- Move the topic you most fear skipping into the first half of the meeting.
- Delete questions that repeat something the proposal already settled. Asking again looks like you didn't read it.
- Send the agenda to the client a day ahead so they can bring the open items.
