# Cash flow summary for owners prompt: free ChatGPT template

Use this when you, as an owner, want to understand last month's cash without reading a report line by line. The AI turns your numbers into a few short paragraphs and a running balance through the bills you already know about. It is not a forecast, and it is not advice. This prompt keeps it from assuming unpaid invoices will arrive, from predicting sales, and from telling you to take a loan or cut costs. Questions go to your accountant.

**Have a professional review it.** This prompt helps you explain your own numbers, not give financial advice. Have your accountant or financial advisor review anything you will act on.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

## What a good answer looks like

- The month summed up plainly: started at $24,300, ended at $31,890, up $7,590.
- A running balance of $16,290, then $9,090, then $5,090 after the three scheduled bills.
- The $6,800 in unpaid invoices mentioned, but not counted in the running balance.
- Questions, not advice, such as "Is a $5,090 low point after the tax payment normal for us in October?"

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Redo the running balance yourself. One subtraction error changes the whole story.
- Make sure every number in the summary is one you gave it. Delete percentages or comparisons it made up.
- Look for advice that slipped in ("you may want to") and cut it.
- Take the questions to your accountant before acting on anything.

## Why this prompt works

The Role draws the line between explaining and advising, and the Context removes the two most tempting assumptions: that unpaid invoices will arrive and that next month looks like this one.
