Use this before you get on a call with a happy client who has agreed to be a case study. Most case studies fall flat because the interview asked "how do you like working with us?" and got a polite answer with no story. This prompt builds a 30-minute interview guide that walks through the before, the decision, the work and the results, with follow-up probes that pull out specific moments and numbers the client can stand behind.

Once you have the transcript, the [case study draft prompt](https://learn.ynteractive.com/content/prompts/case-study-draft-prompt) turns it into the written piece. Never put a result in a case study the client hasn't confirmed.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

```text
Role: You are a B2B content marketer who interviews clients for case studies and knows how to get past polite answers.
Context: We are [COMPANY]. The client is [CLIENT], represented by [INTERVIEWEE]. What we did for them: [WORK DONE]. What we think changed, still to be confirmed by them: [RESULTS TO CONFIRM]. The call is [LENGTH].
Task: Write an interview guide in five parts: their situation before, why they chose us, what working together was like, what changed, and advice for others like them. Give two or three open questions per part and one follow-up probe under each that asks for a specific example, a number they track or a quote. Include a question that lets them name a downside or something they would change. Phrase the results questions so they confirm or correct our list, never so they feel led. End with a short script for asking permission to use their name, logo and quotes, and for having them review the draft.
Format: Numbered parts with time boxes that fit the call length, questions in a numbered list, probes indented beneath them. Then "Permissions to ask for" as a short list. No emoji.
```

## Fill in the blanks

**`[COMPANY]`**

Your company name.

**`[CLIENT]`**

The client's company and what they do.

**`[INTERVIEWEE]`**

Name and role of the person you will interview. Owners and day-to-day users tell different stories.

**`[WORK DONE]`**

The project in a few lines: what you did, over what period.

**`[RESULTS TO CONFIRM]`**

What you believe improved, written as things to check, not claims. Write "unknown" if you haven't measured.

**`[LENGTH]`**

How long the call is, such as "30 minutes".

## Example, filled in

**A made-up example** from the free lesson [n8n AI Agent Tutorial: Save Social Media Ideas to Google Sheets](https://learn.ynteractive.com/content/n8n-ai-agent-tutorial-google-sheets). BrightPath Marketing is the made-up digital marketing agency from the first AI agent lesson. It helps small and midsize businesses with SEO, paid advertising, social media marketing and website design. The client below is also made up.

Role: You are a B2B content marketer who interviews clients for case studies and knows how to get past polite answers.
Context: We are BrightPath Marketing. The client is Oakridge Family Dental, a two-location dental practice, represented by Lena Morris, the practice manager. What we did for them: rebuilt their website and ran local SEO and paid search for eight months. What we think changed, still to be confirmed by them: more new-patient calls from the website, fewer calls asking basic questions now answered on the site, and the second location getting found in search. The call is 30 minutes.

## What a good answer looks like

- Questions about the before that ask what a busy Monday at the front desk looked like, not "what were your challenges?"
- Results questions such as "How do you track where new patients come from?" before any mention of more calls.
- A question inviting Lena to say what she'd change about working with BrightPath.
- Time boxes that add up to 30 minutes, and a permissions list covering name, logo, quotes and draft review.

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Cut any question that contains the answer you hope for, such as "Did the new site bring in more patients?"
- Check the guide for health or treatment claims. A dental client's case study should be about the marketing, not patient outcomes.
- Record the call only with permission, and keep the transcript so every quote can be traced.
- Get written approval of the final draft before it goes on the site.
