# Cancellation request reply prompt: free ChatGPT template

Use this when a customer cancels a plan, membership or recurring service. A good reply confirms it in the first sentence, answers their money question in dollars and leaves the door open without pushing. AI drafts tend to do the opposite: guilt ("we're sad to see you go"), a retention offer you never approved, and a list of plan perks that don't exist. This prompt allows one option, once, and nothing else.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

## Fill in the blanks

The plan or service being cancelled, by the name the customer knows.

Numbered: effective date, any fee, the refund in dollars and how it's paid, what happens to scheduled visits or data.

**`[ONE OPTION]`**

A single genuine alternative (pause, downgrade, transfer) or "none." Leave it out and the AI tends to invent a discount.

**`[CUSTOMER EMAIL]`**

Their cancellation request.

## What a good answer looks like

- "Your Comfort Club plan is cancelled as of today, Oct 2" as the opening line.
- The money answer in one sentence: $64 back to his card, processed today.
- The Oct 20 tune-up clearly removed, so nobody shows up at a house being sold.
- The buyers option in one sentence, then a warm send-off for the move.

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Check every promise against the three facts: Oct 2, no fee, $64, Oct 20 removed. Delete "within 5 to 7 business days" if it appears; you never said that.
- Look for invented plan perks in the option sentence, like "priority service and 15% off repairs." If you didn't list a benefit, the buyers can't hold you to it.
- Count the stay-with-us lines. More than one, or anything like "before you go, consider," and it stops being gracious.
- Make sure the cancellation and refund are actually done in your system before you say they are.

## Frequently asked questions

**Is it wrong to try to keep a customer who cancels?**

No, but one honest option beats a sales pitch. Customers who leave on good terms come back and refer others; customers who had to say no three times usually don't.
