# Budget variance explanation prompt: free ChatGPT template

Use this when you have a budget-versus-actual report and need to explain it to an owner, a partner or yourself. AI is good at turning a grid of numbers into sentences. The risk is that it fills gaps with plausible reasons ("likely due to seasonal demand") that nobody checked. This prompt only lets it use the reasons you provide, turns every unexplained move into a question, and keeps advice out.

**Have a professional review it.** This prompt helps you explain your own numbers, not give financial advice. Have your accountant or financial advisor review anything you will act on.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

## Fill in the blanks

**`[BUSINESS]`**

Your business name and what it does.

**`[PERIOD]`**

The month, quarter or year the report covers.

**`[KNOWN REASONS]`**

What you know caused specific moves, one line each. Leave a line out if you don't know; the AI will ask.

**`[THRESHOLD]`**

What counts as a big move for you, such as "10% or $500, whichever is larger."

**`[REPORT]`**

Each line with its budget and actual, copied from your spreadsheet or accounting report.

## What a good answer looks like

- Correct math: green coffee +$3,400 (18.9%), social ads +$1,600 (64.0%), shipping +$1,250 (20.8%).
- Explanations for green coffee and social ads that repeat your reasons, nothing more.
- Shipping marked "Reason not given" and listed as a question.
- No line like "consider renegotiating with your importer."

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Recompute two or three lines yourself. Language models can slip on arithmetic, especially percentages.
- Read each explanation and point to the reason you gave for it. Delete any reason you didn't supply.
- Make sure small moves under the threshold weren't dramatized.
- Answer the open questions before you share it, or share them as open questions.

## Why this prompt works

The Context separates what you know from what you don't, which is how you stop a [hallucination](https://learn.ynteractive.com/content/glossary/hallucination) that sounds like analysis. Asking for the table first puts the math where you can check it. The "Reason not given" rule borrows the "Not stated" habit from the [client meeting lesson](https://learn.ynteractive.com/content/chatgpt-client-meeting-recap-accounting-firm).
