Use this when the same benefits questions keep landing in your inbox: when coverage starts, how to add a dependent, what the deductible is. This prompt writes a short FAQ from only the text you paste, quotes the line each answer comes from, and says plainly when the documents don't answer a question.

Have HR or your benefits broker check the FAQ against the official plan documents before you share it, and point people to those documents as the final word.

**Have a professional review it.** This prompt helps you draft, not decide. Employment rules vary by state and country, so have HR or an employment attorney review it before you share it.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

```text
Role: You are an HR coordinator at [COMPANY] writing a benefits FAQ for employees using only the plan text I paste.
Context: The plan year or effective dates: [PLAN YEAR]. The questions employees ask most: [QUESTIONS]. Who answers anything the FAQ doesn't cover: [CONTACT]. Use only the plan text below. Do not use outside knowledge about how plans usually work.
Task: Write one answer for each question. Start each answer with the direct answer in plain words, then quote the sentence from the plan text it comes from. If the plan text doesn't answer a question, write "The plan documents I have don't say. Please ask" followed by the contact, and nothing else. Don't recommend a plan, compare options as better or worse, or give tax or medical advice.
Format: A Q and A list, each question in bold, answers under 60 words, each with one short quote. End with a line saying the official plan documents are the final word and where to find them. No emoji.
Here is the plan text:
[PLAN TEXT]
## Fill in the blanks
**`[COMPANY]`**
Your organization's name.
**`[PLAN YEAR]`**
Such as "January 1 to December 31".
**`[QUESTIONS]`**
The real questions you get, in employees' words.
**`[CONTACT]`**
A named person or the broker, with how to reach them.
**`[PLAN TEXT]`**
Copied sections of the plan summary or benefits guide. Leave out anything with employee names or claims.
## Example, filled in
**A made-up example** from the free lesson [Build an AI Vendor Follow-Up Agent in n8n](https://learn.ynteractive.com/content/ai-vendor-follow-up-agent-n8n). Ridgeline Supply Co. is the made-up warehouse and distribution business from the operations lessons. Its office manager keeps fielding benefits questions from warehouse and office staff. The plan text below is invented for the example and is not a real plan.
Copy example
```text
Role: You are an HR coordinator at Ridgeline Supply Co. writing a benefits FAQ for employees using only the plan text I paste.
Context: The plan year or effective dates: January 1 to December 31. The questions employees ask most: When does my coverage start? Can I add my spouse in the middle of the year? What is the deductible? Does the plan cover glasses? Who answers anything the FAQ doesn't cover: Renee in the front office, extension 104. Use only the plan text below. Do not use outside knowledge about how plans usually work.
Task: Write one answer for each question. Start each answer with the direct answer in plain words, then quote the sentence from the plan text it comes from. If the plan text doesn't answer a question, write "The plan documents I have don't say. Please ask" followed by the contact, and nothing else. Don't recommend a plan, compare options as better or worse, or give tax or medical advice.
Format: A Q and A list, each question in bold, answers under 60 words, each with one short quote. End with a line saying the official plan documents are the final word and where to find them. No emoji.

Here is the plan text:
Coverage begins on the first day of the month after 30 days of employment.
You may add a dependent outside open enrollment within 30 days of a qualifying life event, such as marriage or birth.
The individual deductible is $1,500 per plan year.
```
## What a good answer looks like
- Three answers that quote the pasted lines, such as "the first day of the month after 30 days of employment".
- The glasses question gets "The plan documents I have don't say. Please ask Renee", with no guess about vision coverage.
- The spouse answer mentions the 30-day window and the qualifying life event, and nothing about other situations.
- No plan recommendations, and a closing line pointing to the official documents.
## How to check it before you use it
An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.
- Find every quote in the plan text. If one isn't there word for word, delete that answer.
- Watch for helpful-sounding extras, such as "most plans also cover", and cut them.
- Confirm the plan year and numbers against the current documents. Plans change at renewal.
- Have HR or your broker review the FAQ before it goes out, and update it each plan year.
## Practice it in the free lesson
**[Build an AI Vendor Follow-Up Agent in n8n](https://learn.ynteractive.com/content/ai-vendor-follow-up-agent-n8n)**: Build an AI agent for Ridgeline Supply Co. that writes follow-up messages for late or pending purchase orders and saves them to Google Sheets — chat trigger, AI Agent, system prompt, model, memory, and the Sheets tool. You do every step yourself in a practice copy of n8n, and nothing touches your real accounts.
