# Auditor document request reply prompt: free ChatGPT template

Use this when an auditor, a reviewer or a lender sends a numbered list of document requests and expects a status back. Good replies go item by item: sent, coming on a date, or not available and why. Bad ones say "working on it" and leave the auditor to chase. This prompt builds the item-by-item reply from your tracker, so you control what is promised, and it refuses to guess a delivery date you didn't supply.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

## Fill in the blanks

**`[FIRM]`**

Your company or client's name.

**`[AUDITOR NAME]`**

Who sent the list.

**`[REQUEST LIST]`**

Their numbered items, pasted as written.

**`[STATUS]`**

For each number: sent, due date, or not available.

Northgate Tax is the made-up tax and accounting firm from the refund-email lesson. Here it answers a reviewer from a lender checking its own books. Every name and date is invented.

## What a good answer looks like

- An opening line like "Two of four items are attached."
- Numbers 1 to 4 in the auditor's order, with their wording.
- Item 3 dated October 9 and item 4 marked "date to be confirmed", not guessed.
- Elena named once, at the end, as the contact.

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Open every attachment you say is attached. Mislabeled files are the usual mistake.
- Check that no date appears that you didn't provide.
- Confirm sensitive files go through the channel the auditor agreed to, not a plain email thread.
- Update your tracker the moment you send, so the next reply starts from the truth.

## Why this prompt works

Auditors work from lists. A reply that mirrors their list lets them tick items off, and a line that says "date to be confirmed" is more useful to them than a hopeful guess.
