# Appointment reminder text prompt: free ChatGPT template

Use this the afternoon before a full day of jobs. Paste tomorrow's schedule and get one short reminder per customer, ready to send from your texting tool. Reminders catch the "oh, that's tomorrow?" customers while you can still fill the slot. The AI's habit to watch is padding: texts that run three screens long, or that add "your tech will call when he's 15 minutes away" when nobody promised that. Only text customers who agreed to get texts from you about their appointments.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

## Fill in the blanks

**`[BUSINESS]`**

Your company name and trade.

**`[REPLY OPTIONS]`**

What customers can reply or call, such as "Reply C to confirm, or call (555) 010-2200 to reschedule."

**`[PREP LINES]`**

One short prep line per job type you do, such as "Please clear the area under the kitchen sink."

**`[SIGN OFF]`**

How every text starts, usually your short business name.

**`[SCHEDULE]`**

Tomorrow's jobs from your schedule or sheet: first name, time window, tech's first name, job type. No addresses or phone numbers needed.

Rapid Flow Plumbing is the made-up plumbing company in the Daily Job Alerts lesson, where n8n emails each tech their jobs from a Google Sheet at 7 a.m. Here the office uses the same sheet to remind customers the day before.

## What a good answer looks like

- Three texts in order, each naming the window and tech: "Luis will be there between 8 and 10 a.m."
- Anita gets the sink cabinet line, Rob the water heater line, and Karen no prep line at all.
- The same confirm and reschedule wording in every text.
- Each text short enough to read without scrolling.

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Check every promise in the texts against the schedule. Delete "Luis will call when he's on his way" unless that is really how your techs work.
- Make sure each window and tech name landed on the right customer. A swap here sends a customer waiting at the wrong time.
- Count characters on the longest text. Over 300 often means the AI added a friendly paragraph nobody needs.
- If you start sending these automatically, keep the same sheet columns the lesson uses so the times come from one place.
