# Annual coverage review invite prompt: free ChatGPT template

Use this when a client's policies come up for their yearly look, or after you hear about a change that might matter: a renovation, a new driver, a home business. The prompt writes a short, personal invite that mentions what you know, asks the client to bring a few facts, and offers real times, so the review feels like a service and not a sales call.

It doesn't tell the client they're underinsured or missing anything. Whether coverage should change is for the review itself, with a licensed agent.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

## Fill in the blanks

**`[AGENT]`**

Your name as the client knows you.

**`[AGENCY]`**

Your agency's name.

**`[CLIENT POLICIES]`**

Names, the policies they have with you, the carrier and renewal month.

**`[KNOWN CHANGES]`**

Things the client has told you or that are in your file: a remodel, a teen driver, a new business. Only include what they'd expect you to remember.

**`[TIMES]`**

Two or three real slots, how long it takes, and phone, video or office.

## What a good answer looks like

- The basement and Eli's permit mentioned as conversation starters, not warnings.
- A "have handy" list that fits these clients, such as what the basement project cost and when Eli expects to drive on his own.
- Two specific times, the length and how you'll meet.
- No claims about gaps, savings or prices.

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Check every promise: the email should promise a conversation, not a discount or an outcome. Delete "make sure you're fully protected" and "find you savings."
- Confirm the policies, carrier and renewal month against your agency system.
- Make sure every personal detail is one the client shared with you and would expect you to remember.
- Check that the offered times are still free before you send.
