After every kickoff or client meeting the same three jobs appear: a recap with owners and dates, a tracker the team can tick off and a short deck for the client. In this free lesson you use a practice copy of [ChatGPT](https://learn.ynteractive.com/content/tool/chatgpt), [n8n](https://learn.ynteractive.com/content/tool/n8n), Google Sheets and [Gamma](https://learn.ynteractive.com/content/glossary/ai-presentation-maker) to do all three from one set of rough notes. You check every output against the notes, because each tool can add things nobody said.

### The 4 parts, in short

1. Recap the meeting in ChatGPT: Open ChatGPT, Ask for the recap, Check the table against your notes, Ask for the action items as JSON, and 1 more step.
2. Log the action items with n8n: Go to n8n, Add the first step, Pick Trigger manually, Open the trigger, and 19 more steps.
3. Build the kickoff deck in Gamma: Open Gamma, Pick Paste in text, Paste one section per slide, Choose Generate from notes, and 5 more steps.
4. Check the result: Back to n8n.

**Start here first:** [Build an AI Vendor Follow-Up Agent in n8n](https://learn.ynteractive.com/content/ai-vendor-follow-up-agent-n8n) (module 1 of AI Automation for Operations)

**Part of:** [AI for Operations Teams](https://learn.ynteractive.com/content/paths/ai-for-operations) (step 7 of 7)

## Step 1: the recap, with rules about what is missing

Paste the rough notes into ChatGPT and ask for three parts: Decisions, an [Action items](https://learn.ynteractive.com/content/glossary/action-items) table with Owner, Task and Due date, and Open questions. Add two rules: use only what is in the notes, and write TBD when an owner or a date is missing. In our test run, the table carried the right owners and dates, and the one action with no date, booking the weekly Thursday check-ins, got TBD instead of a guess.

Then ask in the same chat for only the action items as a [JSON](https://learn.ynteractive.com/content/glossary/json) array, with the same four keys on every item: Meeting, Owner, Task and Due date. That gives a spreadsheet tool data it can read, with no table to retype.

## Step 2: four rows in a Google Sheet with n8n

In n8n, start with Trigger manually, open it and click set mock data, then paste the JSON. The output shows four items, one per action. Add Google Sheets, pick Append row in sheet, choose your document and tab, and set Mapping Column Mode to Map Automatically. The default, Map Each Column Manually, left every column empty and failed in our test with At least one value has to be added under Values to Send. The sheet headers must use the same words as the JSON keys, one per cell.

Execute step adds four rows. A Status column left blank is a simple way to give the team something to fill in.

## Step 3: a five-slide deck in Gamma, then check it

In Gamma choose Paste in text and paste an outline with one section per slide, separated by a line of three dashes. Choose Generate from notes or an outline, continue to the prompt editor and generate. In our run the five slides appeared in about a minute.

Read every slide against your notes. Gamma added a budget line saying the $8,500 included one round of revisions, and a mockups slide listing hero, services overview and event banner variations. None of that was in the notes. It also left a stray note about a theme accent colour on the title slide. Delete or correct anything you cannot trace back to the meeting.

If you do not use Gamma, ask ChatGPT for a five-slide outline from the same notes and paste it into any slide tool.

### 1. Recap the meeting in ChatGPT

1. **Open ChatGPT.** You just left the Harbor Dental kickoff meeting with a page of rough notes. Open a new chat in **ChatGPT**: click the **ChatGPT** tab.
   You just left the Harbor Dental kickoff meeting, with a page of rough notes.
2. **Ask for the recap.** Click the box and type the request. It asks for three things (Decisions, an Action items table, Open questions), tells ChatGPT to use only what is in the notes, and says what to write when a name or date is missing. Use **Paste the prompt** if you do not want to type it, then press **Enter**.
   It asks for decisions, an action items table, and open questions. It says to use only the notes, and to write T B D when something is missing.
   ```text
   Here are my rough notes from today's project kickoff meeting. Write a short recap with three parts: Decisions, Action items (a table with Owner, Task and Due date), and Open questions. Only use what is in the notes. If an owner or a date is missing, write TBD. Notes: Kickoff for the Harbor Dental website refresh, Mon Oct 12. Present: Maya (project lead), Jordan (design), Alex (dev), Priya from the client. Priya wants the homepage live before the Nov 20 open house. Jordan will send three homepage mockups by Fri Oct 16. Alex to set up the staging site by Wed Oct 14. Priya to send staff photos and logo files by Mon Oct 19. Maya to book weekly Thursday check-ins. Not sure yet who writes the service page copy. Budget approved at $8,500.
   ```
3. **Check the table against your notes.** ChatGPT answers in a few seconds. Do not copy it anywhere yet. Read the **Action items** table against your notes. Owners and dates match, and **Maya**'s due date says **TBD** because the notes never gave one. Click the table once you have checked it.
   Chat G P T answers in a few seconds. Do not copy it yet. Read the table against your notes. The owners and dates match. Maya's date says T B D, because the notes never gave one.
4. **Ask for the action items as JSON.** A spreadsheet tool needs the action items as data, not as a table to read. Type a second request in the same chat: the action items only, as a JSON array with the same four keys on every item. Use **Paste the prompt** if you like, then press **Enter**.
   A spreadsheet tool needs the action items as data. The action items only, as a JSON array, with the same four keys on every item.
   ```text
   Now give me only the action items as a JSON array. Each item needs these keys: Meeting (use Harbor Dental kickoff), Owner, Task, Due date. Use TBD for a missing date. Return only the JSON.
   ```
5. **Copy the JSON.** ChatGPT returns just the list, in square brackets. Each item has **Meeting**, **Owner**, **Task** and **Due date**. Click **Copy** to put it on your clipboard.
   Chat G P T gives back just the list. Each item has meeting, owner, task, and due date.

### 2. Log the action items with n8n

6. **Go to n8n.** You opened a new, empty workflow in n8n and named it **Meeting to action items**. Click the **n8n** tab.
   You opened a new empty workflow in N eight N, and named it.
7. **Add the first step.** Every workflow starts with a trigger. Click **Add first step...**
   Every workflow starts with a trigger.
8. **Pick Trigger manually.** You will run this one by hand after each meeting, so you do not need a schedule or a form. Click **Trigger manually**. The node lands on the canvas and its panel stays closed.

9. **Open the trigger.** Double-click the node, **When clicking 'Execute workflow'**, to open it.
   Double click the node, to open it.
10. **Open set mock data.** The trigger has nothing to hand on yet. Click **set mock data** on the **OUTPUT** side. It lets you give n8n sample data by hand, so the next steps have something to work with.
    The trigger has nothing to hand on yet. It lets you give N eight N sample data by hand.
11. **Paste the JSON from ChatGPT.** Paste what you copied from ChatGPT. The editor wants a JSON list, and ChatGPT already gave you one. Use **Paste the JSON from ChatGPT** if your clipboard is empty.
    The editor wants a JSON list, and chat G P T already gave you one.
    ```text
23. **Pick the tab.** Pick **Sheet1**.
    Pick the tab.
24. **Open Mapping Column Mode.** A new box appears: **Mapping Column Mode**. It starts on **Map Each Column Manually**, which leaves every column empty. In our test, running it like that failed with **At least one value has to be added under Values to Send**. Click the box.
    A new box appears, mapping column mode. It starts on manual, which leaves every column empty. In our test that failed.
25. **Choose Map Automatically.** Click **Map Automatically**. n8n matches each key from the JSON to the column with the same name.
    N eight N matches each key to the column with the same name.
26. **Add the rows.** Click **Execute step**. The **OUTPUT** shows **4 items**: one row added for each action item.
    The output shows four items. One row for each action item.
27. **Back to the canvas.** Close the node with the **X**. Nothing runs by itself until you click Publish, and this practice never publishes.
    Close the node. Nothing runs by itself until you publish. We will not publish today.
28. **Check the rows.** Click the **Kickoff Action Items** tab. Four rows, one per action item, with **Status** left blank for your team. Maya's due date says **TBD**. That is honest: the meeting never set one.
31. **Paste one section per slide.** Click the box and type the outline: one section for each slide, with a line of three dashes (**---**) between sections. We wrote five sections: the kickoff, what we decided, who does what by when, the open question and the next steps. Use **Paste the outline** if you do not want to type it.
    One section for each slide, with three dashes between sections. We wrote five.
    ```text
    Harbor Dental website refresh: project kickoff
    Monday Oct 12. Team: Maya (project lead), Jordan (design), Alex (dev), Priya (client).
    ---
    What we decided
    - Homepage live before the Nov 20 open house
    - Budget approved at $8,500
    - Weekly check-ins on Thursdays
    ---
    Who does what, by when
    - Jordan: send three homepage mockups, Fri Oct 16
    - Alex: set up the staging site, Wed Oct 14
    - Priya: send staff photos and logo files, Mon Oct 19
    - Maya: book the weekly Thursday check-ins
    ---
    Open question
    - Who writes the service page copy? Owner not yet decided
    ---
    Next steps
    - First check-in on Thursday
    - Mockups reviewed with Priya
    - Staging site ready for content
    ```
32. **Choose Generate from notes.** Click **Generate from notes or an outline**. The other two options would summarize or keep your words exactly. This one lays your outline out and fills in design.
    It lays your outline out, and fills in the design.
33. **Continue to the prompt editor.** Click **Continue to prompt editor**. You see your five sections as five slides, and **5 slides total** at the bottom.
    You see your five sections as five slides.
34. **Generate the deck.** Click **Generate**. In our test it took about a minute, and the cards fill in one by one. Do not close the tab while it works.
    In our test it took about a minute. Do not close the tab while it works.
35. **Check the budget slide.** Read slide 2 against your notes. The notes said **Budget approved at $8,500**. Gamma added **includes design, development and one round of revisions**. Nobody said that. Click the slide, then you would delete the extra words.
    Read slide two against your notes. The notes said budget approved at eight thousand five hundred. Gamma added, one round of revisions. Nobody said that.
36. **Check the mockups slide.** Slide 3 has the same problem: **includes hero, services overview and event banner variations**. The notes only said three homepage mockups. AI tools like to fill empty space with plausible details, so check every slide before you share the deck.
    Slide three has the same problem. Hero, services overview, and event banner variations. The notes only said three homepage mockups. Check every slide before you share the deck.
37. **Delete the stray note.** On slide 1, under the team line, Gamma left a note that was meant for itself: **Theme accent: #007EBD**. Hover over it and click its trash can to delete it. A client would see it.
    On slide one, Gamma left a note meant for itself, about a theme accent colour. Hover over it, and click its trash can to delete it. A client would see it.
### 4. Check the result
38. **Back to n8n.** Click the **n8n** tab. Three things happened from one set of notes: a recap you checked, four rows in a tracker, and a five-slide deck you cleaned up. The workflow is **not published**, so it only runs when you click **Execute workflow**. That is the right setting for something you run after each meeting.
    Go back to the N eight N tab. From one set of notes you got a recap you checked, four rows in a tracker, and a five slide deck you cleaned up. The workflow is not published. It only runs when you click execute workflow. That is right for something you run after each meeting.
## Frequently asked questions
**Why ask ChatGPT for JSON as well as the table?**
The table is for people to read. The JSON is data that n8n can turn into one item per action, so you do not retype anything into the sheet.
**What does TBD mean in the due date column?**
The notes never gave a date for that action, so the prompt told ChatGPT to write TBD instead of inventing one. Fill it in at the next check-in.
**Why did n8n fail with At least one value has to be added under Values to Send?**
Mapping Column Mode was still on Map Each Column Manually with every column empty. Switch it to Map Automatically so n8n matches each JSON key to the column with the same name.
**Can Gamma make things up in my deck?**
Yes. In our test it added a revisions promise and extra mockup details that were not in the notes. Read every slide against your notes before you share the deck.
**Does the n8n workflow run by itself?**
No. It uses Trigger manually, so it only runs when you click Execute workflow, which suits a job you do after each meeting. Nothing is published.
