## What you'll build

The problem: every renewal season, clients see a higher premium and write angry emails, and the reply is risky in a way most emails aren't. A rushed "yes, that's covered" about equipment the carrier was never told about is the kind of promise that turns into an uncovered loss, and a claim you can't pay is far worse than an annoyed client. In this module you're Carla, an account manager at Tallgrass Insurance Agency. Joan, who owns a print shop, sees an 18% increase on her renewal, wants the old price, assumes the $22,000 press she bought in September is already covered, and thinks she can sit on the old policy while she decides. You'll copy the thread into [ChatGPT](https://learn.ynteractive.com/content/tool/chatgpt) with your agency's facts, get a first draft, have ChatGPT check every promise against those facts, fix the lines that promise coverage or a price you can't give, and send a calm, accurate reply from [Gmail](https://learn.ynteractive.com/content/tool/gmail). To do it for real you need a ChatGPT account (a business plan is best for client mail), the client's [email thread](https://learn.ynteractive.com/content/glossary/email-thread) (any email app works, because you copy and paste), and a short numbered list of the facts from the quote and the policy. The coverage rules in this lesson are made up; use your own policy and carrier wording.

That's the routine for every renewal email that asks for a price or a coverage promise. Paste the thread, add the facts from the quote and the policy (the premium, what you can change, what is and isn't covered, and the deadlines) and say what a good reply looks like. Then don't trust the first draft: ask ChatGPT to match every promise to a fact, especially anything that says "covered". Ask for specific fixes, read it last yourself, and send it before the client shops around. Leave policy numbers and personal data out of anything you paste.

## Practice first, then build it for real

Everything here is a practice copy. No ChatGPT or Gmail account is needed, nothing is sent to [OpenAI](https://learn.ynteractive.com/content/glossary/openai), and no email really goes out. Practice here first, then do it for real. To build it for real you need your own ChatGPT account, and some services charge once you use them for real work, so check each tool's current pricing.

## Try it yourself, free

Reading the steps is a start. Doing them is how it sticks. The interactive module walks you through every click in a practice copy of ChatGPT, checks each step, and never touches your real accounts.

## Step by step: Answer a Renewal Price Shock Without Overpromising Coverage using ChatGPT for Insurance Agencies

All 20 steps of the interactive module, in order. In the module you watch each one, then do it yourself in a practice copy that checks your work.

### 1. Copy the thread

1. **Open the thread.** This is Carla's inbox at Tallgrass Insurance Agency. Click **Joan Pruitt**'s thread, **Pruitt Print renewal quote**, to open it.
   Here's the inbox for Carla, an account manager at Tallgrass Insurance Agency. Joan owns a print shop, and her thread has four messages, a renewal that went up eighteen percent, and a new press she thinks is covered.
2. **Expand all messages.** Gmail folds up the older messages in a thread. Click **Expand all**, the double-arrow icon at the top right of the thread.
   Gmail folds up the older messages, so only the newest one is open. You want the whole story, so click Expand all, the double-arrow icon at the top right.
3. **Copy the thread.** In real Gmail you select the messages, then press **Ctrl+C** (or right-click and choose **Copy**). Here, click the **messages** to copy them.
   Read it through once. Joan wants to know why the premium went up, wants the old price back, thinks her new press is covered, and thinks she can keep the old policy while she decides. If there's anything private in there, like a policy number, leave it out. Here, just click the messages.
4. **Switch to ChatGPT.** Click the **ChatGPT** tab at the top.
   Now switch over to ChatGPT.

### 2. Give ChatGPT the context

5. **Click the message box.** You are in a [new chat](https://learn.ynteractive.com/content/glossary/new-chat). Click the **message box**.
   You're in a fresh chat. You'll give ChatGPT three things in one message: the thread, the facts, and what a good reply looks like.
6. **Paste the thread.** Paste in the thread. One line says what this is, then the four emails, oldest first.
   First, the thread. One line tells ChatGPT what it's looking at, then the emails, oldest first.
   ```text
   Here is an email thread between me, an account manager at an insurance agency, and a business client, oldest message first.
   Carla at Tallgrass Insurance Agency (Mon, Oct 12): Hi Joan, your commercial package renewal quote from Cascadia Mutual is attached. The new annual premium is $4,860, up from $4,120. The policy renews Nov 1. Let me know if you have questions. - Carla
   Joan Pruitt (Wed, Oct 14): Carla, an 18% increase?! I haven't had a single claim. Can you get it back to what I paid last year? Also, I bought a new $22,000 digital press in September. That's covered under the policy already, right? It's the same business.
   Joan Pruitt (Thu, Oct 15): Anything? I'm thinking about shopping this around. And if I don't sign right away I can just keep the old policy until I decide, correct?
   Joan Pruitt (8:31 AM): Carla, I need an answer today. Is the press covered, why did my premium go up, and can you get the old price?
   ```
7. **Add the facts.** Paste in the facts. These are the only things the reply may promise: the quote, the options you can offer, the policy end date, what is and isn't covered and what you'll do about the press.
   Next, the facts. ChatGPT can't see the quote, the policy dates, or what the carrier has been told, so spell them out. Number them, so you can check them later.
   ```text
   Facts (only promise what is here):
   1. The Cascadia Mutual renewal quote is $4,860 a year, up from $4,120 (18%). The quote lists the changes: the carrier's rate increase and a higher building replacement value.
   2. I can't get the old price. If Joan raises the deductible from $1,000 to $2,500, the carrier quotes $4,550 a year, a saving of $310. She decides whether that works for her.
   3. Joan can ask me to get quotes from other carriers. That takes about 5 business days, and any new policy would start Nov 1.
   4. Her current policy ends at 12:01 a.m. on Sunday, Nov 1. There is no grace period. If we don't have her acceptance by Wednesday, Oct 28, the coverage lapses on Nov 1.
   5. The new digital press ($22,000, bought in September) was never reported to the carrier. Our policy automatically covers newly acquired equipment for 30 days, and that window closed in mid-October, so the press is not covered right now.
   6. To add it, I'll send an endorsement request to Cascadia Mutual today. Coverage starts only when they confirm in writing. I need the invoice and the serial number.
   7. I won't tell her she's covered for anything until the carrier confirms.
   8. We missed Joan's Thursday email. That's on us.
   9. Sign it: Carla, Tallgrass Insurance Agency.
   ```
8. **Say what a good reply looks like.** Paste in the instructions: the tone, the questions to answer, what she needs to do next and by when, a word limit, and a rule not to invent anything.
   Last, tell it what a good reply looks like: calm and direct, the questions to answer, what she needs to do and by when, and a word limit. And one rule that matters most: don't invent details or promise anything that isn't in the facts.
   ```text
   Write my reply to Joan. Tone: calm, warm and direct, like an agent who has her interests at heart. Apologize once for missing her Thursday email. Answer all four of her questions clearly: why the premium went up and whether she can get the old price, whether the press is covered, and what happens if she doesn't sign right away. Say what she needs to do next and by when. Keep it under 220 words. No subject line, since it's a reply in the same thread. Don't invent details or promise anything that isn't in the facts.
   ```

### 3. Get the first draft

9. **Send it.** Thread, facts and instructions are all in. Click the **Send** arrow.
   Thread, facts, and instructions, all in one message.

### 4. Check every promise

10. **Read the draft, then click the message box.** Read the draft closely. Your real draft will differ every time, and a good model may get it right. This practice draft has three slips: look at the price, the press and the timing. Then click the **message box**.
    That's a friendly first draft. It apologizes once and gets the deductible option right. Your real draft will be a little different each time, and it may come out right. In this practice draft, read the price, the press, and the timing: last year's price, a press that's covered, and a policy that keeps running. None of the facts you gave it say any of that. A claim you can't pay is worse than an annoyed client.
11. **Ask ChatGPT to check its promises.** Paste in the check to ask for a table of every promise and the fact behind it.
    Ask ChatGPT to check its own work: every promise in the reply, next to the fact that backs it up.
    ```text
    Check that reply against my facts. Make a table of every promise or claim in it and the fact that backs it up. Flag anything the facts don't support.
    ```
12. **Send the check.** Click the **Send** arrow.

### 5. Fix it and warm it up

13. **Read the table, then click the message box.** Three of the six claims match a fact. The old price, the press and the timing don't. ChatGPT suggests wording for all three. In your own chat, the table may say everything is supported. That is a good result too. Click the **message box**.
    Three of the six claims match a fact. You can't get the old price, the press was never reported to the carrier, and the policy ends on the first with no grace period. In your own chat, the table may say everything is supported, and that's a good result too. Still compare the table with your own facts, since you know the policy.
14. **Ask for specific changes.** Paste in the fix: use all three suggested wordings, give each question its own short paragraph, and keep every other fact the same.
    Now ask for specific changes, not just make it better. Use all three suggested wordings, give each of her questions its own short paragraph, and keep every other fact exactly the same.
    ```text
    Use all three of those wordings. Then give each of her questions its own short paragraph so the answers are easy to find, keep it calm and warm, and stay under 220 words. Keep every other fact exactly the same. Reply with just the email.
    ```
15. **Send the fix.** Click the **Send** arrow.

### 6. Send it from Gmail

16. **Copy the reply.** Read the final reply. In real ChatGPT it shows up in an **Email** card: click the **copy** icon on the card or under it, and ignore the Connect email button.
    Read it once more. The press is clear: not covered yet, and here's what to do about it. The deadline is clear, and no promise you can't keep.
17. **Go back to Gmail.** Click the **Gmail** tab at the top.
    Back to Gmail.
18. **Click Reply.** Under the last message, click **Reply**.
    Under Joan's last message, click Reply. Your answer stays in the same thread, which is why you told ChatGPT to skip the subject line.
19. **Paste the reply.** Paste in the reply to drop in the reply you copied. In real Gmail, press **Ctrl+V**.
    ```text
    Hi Joan,
    I'm sorry we missed your Thursday email. That's on us.
    Why it went up: the quote lists a carrier rate increase and a higher building replacement value. I can't get the premium back to last year's price. If you raise your deductible from $1,000 to $2,500, Cascadia Mutual quotes $4,550 a year, which saves $310, and it's your call whether that works. I can also get quotes from other carriers, which takes about 5 business days.
    The press: it isn't covered right now. It was never reported, and the 30-day window for new equipment closed in mid-October. I'll send an endorsement request to Cascadia Mutual today. I need the invoice and the serial number, and you're covered only once they confirm in writing.
    The timing: your current policy ends at 12:01 a.m. on Sunday, Nov 1, with no grace period, so I need your decision by Wednesday, Oct 28 or the coverage lapses.
    Carla
    Tallgrass Insurance Agency
    ```
20. **Read it, then send.** Read it one last time: the deductible option, the press and the October 28 deadline. Then click **Send**.
    One last read before it goes out. ChatGPT wrote the draft, but your name is on it, so check the deductible option, the press, and the October twenty-eighth deadline. Everything's right.
