Many small firms send their website form to a [shared inbox](https://learn.ynteractive.com/content/glossary/shared-inbox) that nobody owns, so leads wait days for an answer and some never get one. [HubSpot](https://learn.ynteractive.com/content/glossary/hubspot)'s free [CRM](https://learn.ynteractive.com/content/glossary/crm) fixes the handoff: each form submission becomes a contact record, a named person is notified, and the reply, the status and the next task all live on that record. In this free business-case lesson you help a made-up accounting firm that left 5 of 18 web inquiries unanswered in a month, then follow HubSpot's own knowledge base to build the form, open the contact it creates, email the lead from the record with a follow-up To-do, set the Lead Status, add a call task and check the activity timeline. Everything uses HubSpot's free tools. The screenshots on this page and in the lesson come from HubSpot's knowledge base, credited and linked under each one, so they show HubSpot's demo contacts. This is my own lesson, not an official HubSpot course.

## The business case: web leads that wait

Picture Priya Raman, who runs Bramble Street Accounting, a made-up accounting firm. The contact form on her website emails info@, a shared inbox. Everyone assumes someone else has answered.

Here are the numbers, using example figures you should replace with your own. In September the firm got 18 web inquiries. The first reply took about 2 days on average, and 5 people never got a reply at all. Priya's goal is simple: every new lead gets a personal reply within 4 working hours, and every lead has a follow-up task, so nobody falls through the cracks.

## Who this is for, and what you need

Owners, office managers and partners at accounting, consulting, legal and other professional firms whose web leads land in a shared inbox. To follow the practice you need nothing. To do it for real you need a free HubSpot account, your work inbox ([Gmail](https://learn.ynteractive.com/content/tool/gmail) or Outlook) connected to HubSpot so you can send one-to-one emails, and access to your website or the form's share link. HubSpot's pricing page says the free plan is for up to 2 users, so check hubspot.com/pricing for current plans.

This lesson stays on the free plan. HubSpot's help center says workflows that create tasks or set property values automatically need a Professional or Enterprise subscription, so here the reply, the status and the task are done by hand, from the contact record.

A note on the screens: this lesson uses the screenshots HubSpot publishes in its own knowledge base. They show HubSpot's demo contacts, and some show a paid-plan record layout, so a label can differ a little from what you see. The form settings panel has no screenshot in the help article, so the lesson draws a simplified version with the article's labels.

## Step 1: build a form that creates contacts

In HubSpot, click More if you see it, then go to Marketing > Forms and click Create form. Select the Form Editor, click Next, and pick a template or Start from blank. Click the + add icon and drag fields onto the form. Each field saves into a CRM property, so the answers land on the contact record.

HubSpot's docs say the Email field is required by default for a submission to create a contact. Keep Email, First Name and Last Name, and add a field for what the person needs. Click any field and, under Field options, turn on Required field where you need an answer.

## Step 2: set the lifecycle stage and who gets notified

In the form editor, click the settings icon. On the Settings tab, Automatically create new contacts from unknown email addresses makes a new contact for every new email address. Under On submission, update contact and company lifecycle stage, set the lifecycle stage to Lead. HubSpot notes it will not move an existing record's stage backwards.

On the Submission settings tab, turn on Notify contact owner, or use Add users to notify to pick the people who should hear about every submission. This is the fix for the shared inbox: each lead now goes to a named person.

## Step 3: publish and share the form

In the top right, click Review and update, then Update. HubSpot shows Form Published! with three options: Embed with HubSpot for HubSpot pages, Get embed code for an external website, and Copy a share link for a standalone form page. Put the embed code on your own site, and use the share link to send yourself a test lead first.

## Step 4: open the contact the form created

When a lead submits the form, go to Marketing > Forms, hover over the form, click Actions and select View submissions. Hover over a submission and click View submission to see the details. At the bottom of the panel, click View object records and select Contact to open the contact record.

## Step 5: reply from the record, with a follow-up To-do

On the contact record, the left sidebar has the activity icons: Note, Email, Call, Task and Meeting. Click Email. Add a subject and a short, personal reply that offers a time to talk. Check Associated with in the bottom right, which lists the records the email will be logged to.

Before you send, tick Create a To-do task to follow up. Click To-do to change the type to Email or Call, and pick the due date. Click Send. The email goes from your connected inbox, and the task is created at the same time.

## Step 6: set the Lead Status, add a call task and check the timeline

In the left sidebar, set the Contact owner and click Lead Status. HubSpot's default options are New, Open, In Progress, Open Deal, Unqualified, Attempted to Contact, Connected and Bad Timing. After your first email, Attempted to Contact tells the team the lead has been answered. Changes save automatically.

To plan a phone call as well, click Task in the left sidebar, give it a title, set the Activity date, set Task Type to Call and click Create. Then open the Activities tab: the form submission, your email, the tasks and the changes are all on one timeline. Click Emails, or More for Calls, Tasks and Meetings, to narrow it down.

## Mistakes to avoid

- Removing the Email field. HubSpot needs it by default to create the contact.
- Leaving notifications on a shared inbox. Add a named person under Add users to notify.
- Replying from your mail app instead of the record. Send from the contact record, so the email is logged where your team will look.
- Sending without a follow-up. Tick Create a To-do so you are reminded if the lead goes quiet.
- Never updating Lead Status. If every contact stays New, you cannot tell who has been answered.
- Expecting it to run by itself on the free plan. Automatic tasks and property changes with workflows need a Professional plan or above.

## Step by step: HubSpot: Capture a Web Lead and Follow Up the Same Day

All 13 steps of the interactive module, in order. In the module you watch each one, then do it yourself in a practice copy that checks your work.

### 1. Web leads that wait

1. **Count the leads that waited.** Priya Raman runs **Bramble Street Accounting**, a small accounting firm (made up). Her website contact form sends each inquiry to a shared inbox, and nobody owns it. In September the firm got **18 web inquiries**. The first reply took **about 2 days** on average, and **5 never got a reply at all**. Her goal: every new lead gets **a personal reply within 4 working hours**, and nobody falls through the cracks. These are example numbers, so swap in your own. Click the **never answered** row.
Meet Priya. She runs a small accounting firm. Last month, eighteen people asked about her services on the website. The first reply took about two days. And five people never heard back at all.
2. **Meet the free HubSpot CRM.** HubSpot's free CRM keeps every contact in one place. In this lesson a HubSpot **form** creates a **contact record** for each lead, and Priya replies, sets a status and books a follow-up **task** from that record, all on the free plan. HubSpot's help center says workflows that create tasks or set properties automatically need a Professional plan or above, so here the follow-up is done by hand, fast. **The HubSpot screens in this lesson are screenshots from HubSpot's own knowledge base**, linked under each one, so they show HubSpot's demo contacts. Click the **HubSpot** card.
HubSpot's free CRM keeps every lead in one place. A form creates the contact. Then Priya replies from that contact, the same day. The screens ahead come from HubSpot's own help center, so the names are HubSpot's demo contacts.

### 2. Build the form

3. **Add the fields, make them required.** In HubSpot, go to **Marketing** > **Forms** (click **More** first if you see it), then click **Create form**. Select the **Form Editor**, click **Next**, and pick a template or **Start from blank**. Click the **+ add icon** to drag in fields. Each field saves into a contact property, and HubSpot's docs say the **Email** field is required by default for a submission to create a contact. Keep Email, First Name and Last Name, and add a field for what they need help with. Then click a field and, under **Field options**, turn on **Required field**. Click **Required field**.
Go to Marketing, then Forms, and click Create form. Pick the Form Editor. Add the fields you need: email, name, and what they need help with. The email field is what creates the contact. Then make a field required.
4. **Tell HubSpot who to alert.** Click the **settings icon** in the form editor. On the **Settings** tab, leave **Automatically create new contacts from unknown email addresses** on, and under **On submission, update contact and company lifecycle stage**, set it to **Lead**. Then open the **Submission settings** tab. In **Add users to notify**, tick **Priya Raman**, so every new lead lands in her inbox, not a shared one. HubSpot's article has no screenshot of this panel, so this is a simple drawing with its labels. Click **Add users to notify**.
Set new contacts to the lead stage. Then, on Submission settings, add Priya to the people HubSpot notifies. Now every new lead goes to a person, not a shared inbox.
5. **Publish and share the form.** In the top right, click **Review and update**, then click **Update** at the bottom of the right panel. HubSpot shows **Form Published!** and three ways to share it: **Embed with HubSpot** for a HubSpot page, **Get embed code** for your own website, or **Copy a share link** for a standalone form page. Priya's site is not on HubSpot, so she would use the embed code. To test it today, click **Copy a share link**, open the link and send yourself a test lead.
Now share it. Put the embed code on your own website. Or, to test it today, copy a share link, and fill it in yourself.

### 3. A lead arrives

6. **Open the lead's contact record.** A lead fills in the form. In this practice it is **Marcus Webb** of Webb Landscaping (made up), asking about monthly bookkeeping. Go to **Marketing** > **Forms**, hover over the form, click **Actions** and select **View submissions**. Hover over the submission and click **View submission**. The panel shows the contact's details. At the bottom, click **View object records** and select **Contact** to open the contact record that the form created. The screenshot shows HubSpot's demo contact. Click **Contact**.
Here's the first lead, Marcus. He needs monthly bookkeeping. The form already made him a contact.

### 4. Reply from the record

7. **Click Email on the record.** This is the contact record. The top of the left sidebar has the activity icons: **Note**, **Email**, **Call**, **Task** and **Meeting**. To send email from HubSpot you first connect your own work inbox, such as Gmail or Outlook. HubSpot's help center says the free CRM connects to both. Click the **Email** icon.
This is Marcus's contact record. At the top are the activity buttons. Note, email, call, task and meeting. You'll need your work inbox connected first.
8. **Write the reply.** The email window opens with the contact in **To** and your inbox in **From**. Enter a **Subject**: *Your bookkeeping question, Marcus*. Type a short, personal reply that offers a time to talk, for example: *Hi Marcus, thanks for your note about monthly bookkeeping for Webb Landscaping. I can help. Could we talk for 15 minutes on Thursday or Friday? Priya, Bramble Street Accounting* You can also click **Meetings** to insert a scheduling link. Check **Associated with** in the bottom right: it lists the records this email will be logged to, so the reply shows on Marcus's record. Click **Associated with**.
Add a subject. Write a short, personal reply, and offer a time to talk. Then check Associated with, at the bottom. It makes sure the email is saved on Marcus's record.
9. **Add a follow-up task, then send.** At the bottom of the email, tick **Create a To-do task to follow up**. Click **To-do** to change the type to **Email** or **Call**, and click the date to pick when, such as **Custom Date** two working days from now. When you click **Send**, HubSpot sends the email and creates the task, so if Marcus does not answer, you are reminded to try again. Click **Create a To-do**.
Before you send, tick Create a To-do. Pick when. Say, two days from now. Now, if Marcus doesn't reply, HubSpot reminds you.

### 5. Track the follow-up

10. **Set the Lead Status.** Back in the left sidebar, the key information card shows properties such as **Contact owner**, **Lead Status** and **Lifecycle Stage**. Set the owner to yourself. Then click **Lead Status** and pick **Attempted to Contact**, one of HubSpot's default lead statuses (the others include **New**, **Connected** and **Unqualified**). Your changes save automatically. Now anyone can see this lead has been answered. Click **Lead Status**.
In the sidebar, set yourself as the owner. Then set Lead Status, to Attempted to Contact. It saves by itself. Now everyone can see this lead got a reply.
11. **Book a call task.** Want a phone call too? In the left sidebar, click **Task**. In the task editor, type a title such as *Call Marcus about bookkeeping*, set the **Activity date**, change **Task Type** to **Call** and add a note. HubSpot's docs say putting "call" or "email" in the title sets the type for you. The task is linked to this contact, so it shows on the record and in your task list. This screenshot is one still frame from HubSpot's animated example. Click **Create**.
Want to call as well? Give it a title, like call Marcus. Set the date, and make it a call.
12. **Check the activity timeline.** In the middle of the record, the **Activities** tab shows the timeline: the form submission, the email you sent, the tasks and the property changes. Click a tab such as **Emails** to see only your one-to-one emails, or use **More** for **Calls**, **Tasks** and **Meetings**. **Search activities** finds a task or an email by its words. If Priya is out, a colleague opens this record and sees exactly what was said and what is due. Click **Emails**.
The form, your email and your tasks are all here. If you're out, a colleague can pick it up from here.

### 6. What to do next

13. **Make same-day replies the habit.** Every web lead is now a contact with an owner, a status, a reply and a follow-up task. Priya's new routine: twice a day, open **Contacts**, filter by **Lead Status** is **New**, and reply to each one from the record. After a month, count how many leads got a personal reply within 4 working hours, and how many are still New. Click the **routine** card.
Make it a habit. Twice a day, open your new leads, and reply from the record. In a month, count how many got a reply the same day.

## Frequently asked questions

**Is this an official HubSpot course?**

No. This is my own lesson. HubSpot is a separate, third-party product. The screenshots come from HubSpot's own knowledge base and are credited and linked under each one.

**Can I do this on HubSpot's free plan?**

Yes. HubSpot's knowledge base lists forms, contact records, tasks and one-to-one email as available on all products and plans. You need to connect your work inbox to send one-to-one emails. HubSpot's pricing page says the free plan is for up to 2 users. Check hubspot.com/pricing for current plans.

**Does a HubSpot form create a contact automatically?**

Yes, when the submission includes an email address. HubSpot's docs say the Email field is required by default for submissions to create contacts, and the Automatically create new contacts from unknown email addresses setting creates a new contact for each new email address.

**Can HubSpot create the follow-up task for me automatically?**

With workflows, yes, but HubSpot's help center says creating tasks with workflows needs a Professional or Enterprise subscription. On the free plan, tick Create a To-do task to follow up when you send the email, or click Task on the record.

**What is the difference between Lifecycle Stage and Lead Status?**

Lifecycle Stage says where a contact is in your overall process, such as Subscriber, Lead or Customer. Lead Status describes the steps within working a lead, with defaults such as New, Attempted to Contact and Connected.

**Can I use a HubSpot form on a website that is not built on HubSpot?**

Yes. After you publish, choose Get embed code and paste it into your page, or use Copy a share link to send people to a standalone form page.
