## What you'll build

The problem: an employee asks about parental leave and wants three yeses. HR people know a reply that says "yes, 12 weeks at full pay, and your dates are approved" is easy to write and hard to take back. If the policy pays less, if unpaid weeks need sign-off, or if his manager hasn't decided, you've created a problem at a very personal moment. In this module you're Renée, the HR manager at Fernhill Architecture, a 38-person firm. Kofi wants to know if he gets 12 weeks at full pay, whether he can add unpaid weeks, and whether his December 14 start is approved, because he wants to tell his clients next week. You'll copy the thread into [ChatGPT](https://learn.ynteractive.com/content/tool/chatgpt) with the facts from your leave policy, get a first draft, have ChatGPT check every promise against those facts, fix the lines that promise pay or approval you can't give, and send a warm, clear reply from [Gmail](https://learn.ynteractive.com/content/tool/gmail). To do it for real you need a ChatGPT account (a business plan is best for employee matters), the employee's [email thread](https://learn.ynteractive.com/content/glossary/email-thread) (any email app works, because you copy and paste), and the relevant part of your written policy. This lesson's policy is made up, so use your own and ask counsel when the law is unclear.

That's the routine for every employee question where the answer is "it depends". Paste the thread, add the exact policy facts (what is paid, what needs approval, who decides and by when) and say what a good reply looks like. Then don't trust the first draft: ask ChatGPT to match every promise to a fact, especially pay, dates and approvals. Ask for specific fixes, read it last yourself, and send it while the employee is still waiting. Keep medical details and other employees' leave out of anything you paste, and follow your company's policy on AI tools.

## Practice first, then build it for real

Everything here is a practice copy. No ChatGPT or Gmail account is needed, nothing is sent to [OpenAI](https://learn.ynteractive.com/content/glossary/openai), and no email really goes out. Practice here first, then do it for real. To build it for real you need your own ChatGPT account, and some services charge once you use them for real work, so check each tool's current pricing.

## Try it yourself, free

Reading the steps is a start. Doing them is how it sticks. The interactive module walks you through every click in a practice copy of ChatGPT, checks each step, and never touches your real accounts.

## Step by step: Answer an Employee's Leave Questions Without Overpromising using ChatGPT for Recruiting & HR

All 20 steps of the interactive module, in order. In the module you watch each one, then do it yourself in a practice copy that checks your work.

### 1. Copy the thread

1. **Open the thread.** This is Renée's inbox at Fernhill Architecture. Click **Kofi Mensah**'s thread, **Parental leave questions**, to open it.
   Here's the inbox for Renée, the HR manager at Fernhill Architecture, a small firm. Kofi's thread has four messages, three questions, and no answer since last Thursday.
2. **Expand all messages.** Gmail folds up the older messages in a thread. Click **Expand all**, the double-arrow icon at the top right of the thread.
   Gmail folds up the older messages, so only the newest one is open. You want the whole story, so click Expand all, the double-arrow icon at the top right.
3. **Copy the thread.** In real Gmail you select the messages, then press **Ctrl+C** (or right-click and choose **Copy**). Here, click the **messages** to copy them.
   Read it through once. Kofi wants to know if he gets twelve weeks at full pay, whether he can add unpaid weeks, and whether his December start is approved. If there's anything private in there that the reply doesn't need, like medical details, leave it out. Here, just click the messages.
4. **Switch to ChatGPT.** Click the **ChatGPT** tab at the top.
   Now switch over to ChatGPT.

### 2. Give ChatGPT the context

5. **Click the message box.** You are in a [new chat](https://learn.ynteractive.com/content/glossary/new-chat). Click the **message box**.
   You're in a fresh chat. You'll give ChatGPT three things in one message: the thread, the facts, and what a good reply looks like.
6. **Paste the thread.** Paste in the thread. One line says what this is, then the four emails, oldest first.
   First, the thread. One line tells ChatGPT what it's looking at, then the emails, oldest first.
   ```text
   Here is an email thread between me, an HR manager, and an employee, oldest message first.
   Kofi Mensah (Mon, Oct 5): Hi Renée, my wife and I are expecting in mid-December. I'd like to plan my parental leave. Can you tell me how it works at Fernhill? Thanks, Kofi
   Renée at Fernhill Architecture (Tue, Oct 6): Congratulations, Kofi! I'll pull the policy together for you this week. Please keep this between us and your manager until you're ready to tell the team. - Renée
   Kofi Mensah (Thu, Oct 15): Thanks. Three questions: Is it 12 weeks at full pay? Could I add a few more weeks unpaid afterwards? And I told Mark my leave would start Dec 14, so that's approved, right? I'd like to tell the clients on my projects next week.
   Kofi Mensah (9:05 AM): Hi Renée, I know you're busy, but I really need to know where I stand before I talk to my clients. Can you confirm all three today?
   ```
7. **Add the facts.** Paste in the facts. These are the only things the reply may promise: the pay schedule, the unpaid-leave rule, who approves the dates and when, the form deadline and what you can't say.
   Next, the facts. ChatGPT can't see your leave policy, who approves what, or your deadlines, so spell them out. Number them, so you can check them later.
   ```text
   Facts (only promise what is here):
   1. Our paid parental leave is 12 weeks in total: the first 6 weeks at 100% of base pay, then the next 6 weeks at 60%. Kofi has worked here 14 months, so he meets the 12-month rule.
   2. Employees can ask for up to 4 more weeks of unpaid leave after that. It needs written approval from their manager and from me, and the request is due at least 30 days before the leave starts.
   3. Leave dates are approved by the employee's manager. Mark Sutter is mapping coverage and has said he'll decide by Friday, Oct 23. Kofi's Dec 14 start is not approved yet, and I can't approve it for him.
   4. Kofi needs to submit the leave request form in the HR portal by Friday, Nov 13, which is 30 days before Dec 14.
   5. Health insurance continues during leave, and his share of the premium stays the same.
   6. Whether any of the leave also counts as job-protected under the law is confirmed separately, and I'll email him within 5 business days of his form. I'm not giving legal advice.
   7. Keep this private. Kofi decides when and how to tell his clients, and I can suggest he waits for Mark's answer first.
   8. Kofi wrote last Thursday and I hadn't answered. That's on me.
   9. Sign it: Renée, Fernhill Architecture.
   ```
8. **Say what a good reply looks like.** Paste in the instructions: the tone, the three questions to answer, what he needs to do next, a word limit, and a rule not to invent anything.
   Last, tell it what a good reply looks like: warm and clear, the three questions to answer, what he needs to do next, and a word limit. And one rule that matters most: don't invent details or promise anything that isn't in the facts.
   ```text
   Write my reply to Kofi. Tone: warm, kind and clear, like an HR manager who wants this to be easy for him. Apologize once for the slow reply. Answer all three of his questions clearly: the pay, the unpaid weeks and whether his dates are approved. Say what he needs to do next and by when. Keep it under 200 words. No subject line, since it's a reply in the same thread. Don't invent details or promise anything that isn't in the facts.
   ```

### 3. Get the first draft

9. **Send it.** Thread, facts and instructions are all in. Click the **Send** arrow.
   Thread, facts, and instructions, all in one message.

### 4. Check every promise

10. **Read the draft, then click the message box.** Read the draft closely. Your real draft will differ every time, and a good model may get it right. This practice draft has three slips: look at the pay, unpaid time and dates lines. Then click the **message box**.
    That's a warm first draft. It apologizes once and gets the form deadline and the insurance right. Your real draft will be a little different each time, and it may come out right. In this practice draft, read the pay, the unpaid weeks and the dates: full pay for twelve weeks, unpaid time for the asking, and dates already approved. Your policy and his manager decide those.
11. **Ask ChatGPT to check its promises.** Paste in the check to ask for a table of every promise and the fact behind it.
    Ask ChatGPT to check its own work: every promise in the reply, next to the fact that backs it up.
    ```text
    Check that reply against my facts. Make a table of every promise or claim in it and the fact that backs it up. Flag anything the facts don't support.
    ```
12. **Send the check.** Click the **Send** arrow.

### 5. Fix it and warm it up

13. **Read the table, then click the message box.** Three of the six claims match a fact. The pay, the unpaid weeks and the approved dates don't. ChatGPT suggests wording for all three. In your own chat, the table may say everything is supported. That is a good result too. Click the **message box**.
    Three of the six claims match a fact. The pay is twelve weeks in total, not twelve at full pay, unpaid weeks need approval, and his manager hasn't decided his dates. In your own chat, the table may say everything is supported, and that's a good result too. Still compare the table with your own policy, since you know it best.
14. **Ask for specific changes.** Paste in the fix: use all three suggested wordings, give each question its own short paragraph, and keep every other fact the same.
    Now ask for specific changes, not just make it better. Use all three suggested wordings, give each of his questions its own short paragraph, and keep every other fact exactly the same.
    ```text
    Use all three of those wordings. Then give each of his three questions its own short paragraph so the answers are easy to find, keep it warm, and stay under 200 words. Keep every other fact exactly the same. Reply with just the email.
    ```
15. **Send the fix.** Click the **Send** arrow.

### 6. Send it from Gmail

16. **Copy the reply.** Read the final reply. In real ChatGPT it shows up in an **Email** card: click the **copy** icon on the card or under it, and ignore the Connect email button.
    Read it once more. Each question gets a straight answer: how the pay works, what the unpaid weeks need, and why his dates aren't approved yet. Nothing in it you'd have to take back later.
17. **Go back to Gmail.** Click the **Gmail** tab at the top.
    Back to Gmail.
18. **Click Reply.** Under the last message, click **Reply**.
    Under Kofi's last message, click Reply. Your answer stays in the same thread, which is why you told ChatGPT to skip the subject line.
19. **Paste the reply.** Paste in the reply to drop in the reply you copied. In real Gmail, press **Ctrl+V**.
    ```text
    Hi Kofi,
    Sorry for the slow reply. You wrote on Thursday and I should have answered sooner.
    Pay: our paid parental leave is 12 weeks in total: the first 6 weeks at 100% of your base pay, then 6 weeks at 60%.
    Extra time: you can ask for up to 4 more weeks of unpaid leave. That needs written approval from Mark and from me, and the request is due at least 30 days before your leave starts.
    Your dates: your Dec 14 start isn't approved yet. Mark is mapping coverage and will decide by Friday, Oct 23, and I can't approve it for him. I'd wait for his answer before you tell your clients.
    Please submit the leave request form in the HR portal by Friday, Nov 13. Your health insurance continues during leave, and your share stays the same.
    Congratulations again!
    Renée
    Fernhill Architecture
    ```
20. **Read it, then send.** Read it one last time: the pay schedule, the unpaid-leave approvals and the status of his dates. Then click **Send**.
    One last read before it goes out. ChatGPT wrote the draft, but your name is on it, so check the pay schedule, the approvals for unpaid weeks, and the status of his dates. Everything's right.
