# What is a Zap in Zapier?

A Zap is an automated workflow in Zapier: one trigger event in an app, like a new form submission, followed by one or more actions in other apps, like adding a spreadsheet row and sending an email. Once it's turned on, it runs by itself.

## Why it matters for a small business

Zapier is one of the best-known automation tools, so many business owners meet automation through Zaps. Knowing the vocabulary helps you compare tools: a Zap is roughly what n8n calls a [workflow](https://learn.ynteractive.com/content/glossary/workflow) and Make calls a [scenario](https://learn.ynteractive.com/content/glossary/make-scenario). The ideas (a trigger, then actions, with fields mapped from one step to the next) carry over.

The tools differ in feel and in how they count usage. Zapier is built around a step-by-step list and a very large catalog of app connections, and it counts tasks, generally one for each action step that runs, so a busy Zap with many steps adds up. n8n uses a canvas, counts whole workflow runs, can be self-hosted and leans toward AI agents and custom logic. Which fits depends on your apps and your volume.

Hillside Pet Grooming, a made-up shop, receives a booking request from a form, adds it to the **Hillside Booking Requests** sheet in an **Append row in sheet** step, and sends a confirmation in a Gmail **Send a message** step.

Built as a Zap, that would be a form app's new-submission trigger, a Google Sheets action that creates a spreadsheet row, and a Gmail action that sends an email, with the customer's name and pet name mapped from the trigger into each action. The skills the lesson practices (connecting accounts, choosing the sheet, rewriting the message with fields from the form, testing with one booking, then switching it on) are the same ones you'd use in Zapier.

## Common confusions

### Zap vs n8n workflow

Same idea, different tool. A Zap is a mostly linear list of steps. An n8n workflow is a canvas of nodes that can branch, repeat a step for every item and include an AI Agent with tools.

### Zap vs task

The Zap is the automation. A task is the unit of usage Zapier counts when the Zap's actions run.

### Zap vs Make scenario

Make's scenarios are built on a visual canvas, closer to n8n's. The building blocks are much the same across all three tools.

## Tips

- Sketch the job first: one trigger, then each action in order. That plan works in any tool.
- Check that every app you need has a connection in the tool before you commit.
- Estimate monthly volume (runs times steps) before comparing pricing pages.
