Quick answer

Usage-based pricing means you pay according to how much a tool does, not just for a seat. Automation tools each count it differently: Zapier counts tasks, Make counts credits, and n8n counts executions, which are whole workflow runs.

## Why it matters for a small business

The unit decides the bill. A workflow with one trigger and four actions runs very differently on a tool that counts every action than on one that counts the whole run. When a small office adds an AI step and a Slack message, a plan that looked cheap for two-step automations can run out early.

Plans and prices change, so treat this page as a way to think, not a price list. As of October 2026, the vendors' pricing pages describe Zapier by tasks, Make by credits and n8n Cloud by executions. The Zapier vs Make vs n8n comparison page on Stepthrough keeps the current figures and sources. Where an AI model is involved there is a second bill, described in [API usage billing](https://learn.ynteractive.com/content/glossary/api-usage-billing).

## How each tool counts usage (as listed on each vendor's pricing page, October 2026)

| Tool | Unit | What counts |
| --- | --- | --- |
| Zapier | Task | Each action Zapier completes; triggers do not count |
| Make | Credit | Each module action counts as one credit |
| n8n | Execution | One run of the whole workflow, however many steps it has |

Higher-tier actions and AI features can count for more on Zapier and Make. Confirm on each vendor's pricing page.

## In a real lesson: Never Miss a New Client Inquiry using Zapier

Say a form entry starts a workflow that adds a Google Sheets row, sends an email and posts to Slack, and it runs 500 times a month. On a per-action count that is more than one counted unit per run, so the monthly total grows with every step you add.

On n8n each of those runs is one execution. The free [Never Miss a New Client Inquiry using Zapier lesson](https://learn.ynteractive.com/content/zapier-google-forms-to-google-sheets) shows the Zapier side of the same idea, and the free [Find and Use n8n Templates lesson](https://learn.ynteractive.com/content/find-and-use-n8n-templates) starts from a ready-made n8n workflow.

## Common confusions

### Usage-based pricing vs per-seat pricing

Per-seat pricing charges for each person who logs in. Usage-based pricing charges for the work the tool does, so a busy workflow can cost more than a team of five.

### Automation usage vs AI model usage

Your automation plan and your AI model are usually billed separately. An OpenAI API key used in an n8n AI agent, for example, is billed by OpenAI, not by n8n.

## Tips

- Count the steps in your busiest workflow and multiply by how often it runs before you pick a plan.
- Watch for a free plan that limits you to two-step automations or a minimum run interval.
- Check the plan again after you add an AI step, since it can use more of your allowance.

## Frequently asked questions

**Which automation tool is cheapest?**

It depends on how many steps your workflows have and how often they run. Per-run counting favors long workflows, and per-action counting favors short ones. Work out your own numbers.

**Do triggers count as tasks on Zapier?**

As of October 2026, Zapier's pricing says triggers do not count as tasks; each action it completes does. Check its pricing page for exceptions.

**Can I run n8n for free?**

n8n offers a free self-hosted Community Edition, and its cloud plans have a free trial. Self-hosting means you run the server yourself.
