Quick answer

Thematic analysis is the job of reading interviews, survey comments or call notes and sorting what people said into a short list of repeated themes, such as "the first week is confusing", each backed by real quotes. It turns a pile of conversations into findings a team can act on.

## Why it matters for a small business

A small firm that runs five customer interviews has hours of audio and no time to replay it. The usual result is that someone remembers one vivid comment, and that comment becomes the story, while the problem three clients mentioned quietly never gets fixed. Doing the analysis by hand means listening again, taking notes and copying quotes, which in the example below is about four hours for five calls.

Thematic analysis protects you from the loudest anecdote. You tag each point a person makes, group the tags, and count how many interviews each group shows up in. A theme that appears in four of five calls is a priority. One that appears once is a note. AI tools can draft the tags and quotes in minutes, which leaves the human time for the part that matters: checking the quotes and deciding what to change.

## From comments to themes, one interview

| What the client said | Tag | Theme |
| --- | --- | --- |
| A welcome email with 11 attachments, no idea which were urgent | Too much paperwork | First week is confusing |
| Uploaded files to the portal and got no confirmation | No upload receipt | First week is confusing |
| Waited almost a week for an answer in tax season | Slow reply | Response time |
| A cleanup fee first seen on the invoice | Surprise fee | Billing surprises |

Repeat this for every interview, then count how many interviews each theme appears in.

## In a real lesson: Speak AI: Turn Customer Interviews into Themes and Quotes

In the free [Speak AI customer interview lesson](https://learn.ynteractive.com/content/speak-ai-turn-customer-interviews-into-themes-and-quotes), Harbor Lane Accounting, a made-up firm, uploads a 2:58 onboarding interview between Dana, the owner, and Mike, a client. The [keyword extraction](https://learn.ynteractive.com/content/glossary/keyword-extraction) tab lists First week, Onboarding, Paperwork and Document portal, and the Sentiment tab marks a low point at 01:35.

The analysis itself happens in AI Chat, set to Transcript Only. You ask for a 3-bullet summary, then the top 3 onboarding problems with a short quote and one fix each. Speak AI returns Overwhelming and Unprioritized Paperwork, Lack of Document Portal Upload Confirmation, and Surprise Cleanup Fee on the First Invoice. That is one interview's themes; across five, you look for the ones that repeat.

## Common confusions

### Thematic analysis vs sentiment analysis

[Sentiment analysis](https://learn.ynteractive.com/content/glossary/sentiment-analysis) scores how positive or negative the words are. Thematic analysis says what people are talking about. A call can be mostly neutral in tone and still contain your biggest problem.

### Thematic analysis vs a summary

An [AI summary](https://learn.ynteractive.com/content/glossary/ai-summarization) shortens one conversation. Thematic analysis compares many and asks which points keep coming back.

## Tips

- Keep one folder per study so every interview on the same question sits together.
- Ask for a quote under each theme, then play each quote in the audio before it goes in a report.
- Count interviews, not mentions: one client saying "paperwork" ten times is still one client.

## Frequently asked questions

**Can AI do thematic analysis for me?**

It can do a fast first draft: tags, themes and quotes. A person still checks the quotes against the recording and decides which themes matter.

**How many interviews do I need to see a theme?**

There is no fixed number. With five interviews, a point raised by three or four people is worth acting on, while a single mention is worth watching.

**What should a thematic analysis report include?**

Each theme in one plain sentence, how many interviews raised it, one or two checked quotes, and a suggested fix or owner.
