# What is a standard operating procedure (SOP)?

A standard operating procedure (SOP) is a written set of steps for doing a recurring task the same way every time, such as receiving a shipment, opening the shop or closing out a job. A good SOP says who does each step, in what order, and how to tell it was done right.

## Why it matters for a small business

Small businesses run on what a few experienced people know. When they are out, or when you hire, that knowledge has to be written down or the work drifts. SOPs make training faster, cut repeat mistakes and let you hand off work without standing over someone's shoulder.

The reason most businesses don't have them is that writing SOPs is slow and dull. AI is good at exactly this job: turning a manager's rough notes into numbered, consistent steps. The risk is filler. A generic AI SOP says "ensure quality standards are met," which nobody on a dock can act on. The fix is a strict format and a rule against guessing.

An SOP explains how to do the job, step by step, with owners. A checklist is the short version used on the floor to confirm nothing was skipped. The SOP Writer GPT does both: asked for a checklist, it uses check boxes and keeps each line under 10 words.

### SOP vs policy

A policy says what the rule is ("every pallet is labeled"). An SOP says exactly how to follow it. You usually need both, and the SOP should point back to the policy.
