## Why it matters for a small business

Without a pipeline, a sales team runs on memory. The owner remembers the big prospect, forgets the quiet one, and nobody can say how many deals are really in play. Writing each deal down with its stage turns a fuzzy feeling of "we are busy" into a list you can sort, count and act on.

Stages also decide what you say. Someone who just saw a demo needs a different message than someone whose trial ends Friday, and both differ from someone who went silent after seeing prices. When the stage is a column in your sheet or CRM, you can tell a person or an AI exactly which kind of message to write for each row.

You give the agent three open deals: Maria Lopez at Maple Row Cleaning "had a demo today", Sam Patel at Fernhill Lawn Care has a "trial ends Friday", and Jen Walsh at Birch Lane Grooming has been "quiet since pricing". Those phrases are stages in plain words.

The system prompt tells the agent to "Match the message to the stage," keep each message under 80 words and end with one clear ask. After you approve, the agent appends one row per deal to the sheet. Each row is a pipeline entry with a stage and a next step, ready for a salesperson to read.

## Common confusions

### Sales pipeline vs sales funnel

The two words are often swapped. A funnel usually describes the prospect's journey and how many drop out at each step. A pipeline usually describes your own stages and the deals you are working. The same sheet can serve both views.

## Tips

- Keep stages few and obvious, five or six at most, and write down what moves a deal from one to the next.
- Review the oldest deals in each stage weekly. A deal that has not moved in a month is either dead or needs a nudge.

**How many stages should a small team use?**

Start with four to six that match how you really sell. More stages mean more upkeep, and people stop updating them. You can always add one later if two kinds of deals keep getting mixed together.

**Can an AI agent move deals between stages?**

It can suggest a stage from notes or emails, but a person should confirm. In the lesson the agent reads the stage you supply and writes the message. It does not decide where a deal belongs.
