# What is a sales forecast?

## Why it matters for a small business

Almost every plan starts here. How many people to hire, how much stock to order and whether you can afford a new tool all depend on what you expect to sell. The sales forecast also feeds the [cash flow forecast](https://learn.ynteractive.com/content/glossary/cash-flow-forecast), which then adjusts for when customers actually pay. If the first is wrong, the second will be wrong too.

A small business forecast does not need to be fancy. A common method takes each open deal in your [sales pipeline](https://learn.ynteractive.com/content/glossary/sales-pipeline), multiplies its value by a probability tied to its [deal stage](https://learn.ynteractive.com/content/glossary/deal-stage), and adds the results. The hard part is keeping the pipeline honest: stale deals, missing stages and hopeful reps all push the number up. AI can tidy notes and draft follow-ups, but the probabilities should come from your own past [win rate](https://learn.ynteractive.com/content/glossary/win-rate), not a guess.

The three test deals show why stage matters. A deal that "had a demo today" and one whose "trial ends Friday" carry very different odds from one that has been "quiet since pricing." A forecast that treats them all the same overstates what will close.

Here is a made-up version of the math. Say each deal is worth $1,200 a year, and your history says trial deals close 50 percent of the time, post-demo deals 30 percent and quiet deals 10 percent. The weighted forecast is $600 plus $360 plus $120, or $1,080. ## Common confusions

### Sales forecast vs cash flow forecast

A sales forecast predicts what you will sell. A cash flow forecast predicts when money actually moves in and out of the bank, including late payments and bills. The first is one input to the second.

### Sales forecast vs sales goal

A goal is what you want to sell. A forecast is what the evidence says you will sell. When the two are far apart, that gap is the conversation to have.

## Tips

- Base stage probabilities on your own past results, not industry averages.
- Mark any deal lost after a set number of days with no activity.
- Compare each forecast to what actually closed and adjust the next one.
- Use AI to summarize deal notes, not to pick the probabilities.
