Quick answer

Role-based access control (RBAC) gives access by job role instead of person by person. You define roles such as owner, staff and client, decide what each role can see and do, then put each person in a role. When someone changes jobs, you change their role.

## Why it matters for a small business

In a 30-person firm, granting access one person at a time breaks down quickly. New hires wait days for the right folders, people who move teams keep their old access, and nobody can say for sure who can open client files. RBAC swaps dozens of one-off grants for a handful of roles that match the org chart, so joining and leaving each become a single change.

It matters more once AI tools read company data. A portal or an agent that answers from shared files should show each person only what their role allows, so an HR assistant never hands salary details to a junior associate. Platforms that build agents across company tools and data, such as Airia, and builders for client portals and internal tools, such as Softr, are where this comes up. Ask how roles work before you connect anything sensitive.

## Roles at a made-up eight-person accounting firm

| Role | Can see | Can do |
| --- | --- | --- |
| Partner | All clients and billing | Approve invoices, add users |
| Staff accountant | Assigned clients only | Edit workpapers |
| Client | Their own documents | Upload files |
| AI assistant | Handbook and FAQ pages | Answer questions, no edits |

## In a real lesson: Build a Private Dashboard from Your Data in Lovable

In [A simple dashboard from your data](https://learn.ynteractive.com/content/lovable-dashboard-with-login), you build a private page at /admin for the Hazelbrook salon site, showing its booking requests. You create the owner's account under **Cloud**, then **Users**, then **Add user**, and switch on **Disable sign-up** so nobody else can make one. Opening /admin while signed out sends you to the sign-in page, which is what should happen to everyone else.

That is access control with two roles: visitors who can send the booking form, and a signed-in owner who can read the requests. The lesson's closing note marks where full RBAC begins. If you ever let customers create accounts, ask Lovable first to limit the dashboard to an admin role, because right now every signed-in user can read the requests. Staff are added with Add user rather than by turning sign-up back on.

## Common confusions

### RBAC vs least privilege

[Least privilege](https://learn.ynteractive.com/content/glossary/least-privilege) says how much access to give: only what the job needs. RBAC is a way to organize that access, by role. Good roles follow least privilege.

### RBAC vs single sign-on

[Single sign-on](https://learn.ynteractive.com/content/glossary/single-sign-on) proves who someone is. RBAC decides what they can do once they are signed in. Most companies use both.

### RBAC vs agent permissions

RBAC groups people into roles. [Agent permissions](https://learn.ynteractive.com/content/glossary/agent-permissions) set what one AI agent may do, action by action. An agent can also be given a role of its own.

## Tips

- Start with three or four roles that match real jobs, not one per person.
- Review who holds each role every quarter and when anyone leaves.
- Give AI assistants their own role with read-only access.

## Frequently asked questions

**What does RBAC stand for?**

Role-based access control: access is granted to roles such as admin, staff or client, and people get access by being given a role.

**Does a small business need RBAC?**

Once more than a few people share client data, yes. Even two roles, owner and staff, beat giving everyone the same login or full access.

**How does RBAC apply to AI tools?**

An AI tool should only read what the person asking is allowed to see. Check whether the tool respects your roles before you connect shared drives or client records.
