# What is a prompt template?

A prompt template is a prompt that has already worked, saved with blanks (like [BUSINESS] or [DETAILS]) where the specifics change. You copy it, fill in the blanks for the new job, and send it, so you never start from an empty box.

## Why it matters for a small business

Most of what a small business asks AI for repeats: announcement emails, quote follow-ups, review replies, meeting recaps. Once you find wording that produces a good result, rewriting it from memory each time wastes the effort and invites mistakes, like forgetting the word limit that kept the last answer tight.

Templates also make results consistent across a team. When everyone fills in the same tested structure, the emails sound like one business instead of five people with five habits. The blanks make it obvious what information is required before anyone hits Send.

## In a real lesson: Prompt Writing 101: Role, Context, Task, Format

At the end of [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format), after the structured prompt for Summit Lawn Care (the made-up lawn company in the lesson) produces a usable email, you click the **Google Docs** tab and open a document called **Prompt Templates**. You click **Paste heading** to add "Customer announcement email", then **Paste template**.

The template is the same four-part prompt with the specifics swapped out: **[BUSINESS]**, **[SERVICE]** and **[DETAILS]**. Everything that made the answer good stays fixed: the instruction to include one clear call to action, the limit of under 120 words, "friendly and plain, no emoji", and "Subject line first, then the email." Next time you copy it into ChatGPT and fill in the brackets.

Automations use the same idea with fields instead of brackets. ### Prompt template vs prompt library

A template is one reusable prompt. A [prompt library](https://learn.ynteractive.com/content/glossary/prompt-library) is the organized collection of many templates, with names, notes and an owner, so a team can find the right one.

### Prompt template vs Custom GPT

A template is text you paste each time. A [Custom GPT](https://learn.ynteractive.com/content/glossary/custom-gpt) stores standing instructions inside the tool, so you only type the changing part. A good template is often the first draft of a GPT's instructions.

## Tips

- Use obvious, capitalized blank names in square brackets so nobody sends a template with a blank still in it.
- Keep the rules that made it work (length, tone, "no emoji") in the fixed part, not in the blanks.
- Save a template only after it has produced a result you would actually send.

## Frequently asked questions

**Where should I keep prompt templates?**

Anywhere your team already looks: a shared Google Doc like the lesson's Prompt Templates doc, a notes app, or your team wiki. Give each one a clear heading.

**How many blanks should a template have?**

Only as many as truly change from job to job, usually three to six. If you are filling in ten blanks, it may be two templates.

**Can I use the same template in different AI tools?**

Yes. A plain-text template works in ChatGPT, Claude, Gemini or Copilot, since it is just a well-structured prompt.
