Quick answer

Order-to-cash (O2C) is the full process a business follows from the moment a customer places an order to the moment the payment is collected and recorded. It includes taking the order, delivering the goods or service, sending the invoice, following up and applying the payment.

## Why it matters for a small business

Revenue isn't real until the cash is in the bank, and every step of O2C can delay it. Orders entered wrong lead to disputed invoices. Invoices sent late start the payment clock late. Reminders that never go out let [accounts receivable](https://learn.ynteractive.com/content/glossary/accounts-receivable) age. Looking at the whole chain shows which step is costing you the most days.

AI fits at several points: capturing order details from a form or email, drafting the invoice email, writing reminders by days overdue and suggesting how to match unclear payments. Each of these is routine text work. The commitments, such as prices, credit terms and write-offs, stay with people.

## In a real lesson: Build a Custom GPT That Writes Overdue Invoice Reminders

The collections end of O2C is covered in [Build a Custom GPT That Writes Overdue Invoice Reminders](https://learn.ynteractive.com/content/custom-gpt-payment-reminder-emails-overdue-invoices). Maple Street Bookkeeping, a made-up firm, bills on a 30-day rule, and its GPT writes reminders like the test case, an $850 invoice 45 days overdue, with the invoice number, amount, due date, payment options and one next step.

The front end shows up in the [AI Demo Request Form lesson](https://learn.ynteractive.com/content/ai-demo-request-form-lead-qualification). A "Book a demo" form for Northwind Scheduling Software, a made-up company, sends each request to an n8n agent that rates the lead and saves it to a **Leads** sheet, which is the first record a future order would come from.

Between those two lessons sit delivery and invoicing, which neither covers. The useful idea is that clean data at the start, such as a correct name, email and need, is what makes the invoice and the reminder correct at the end.

## Common confusions

### Order-to-cash vs procure-to-pay

O2C is the selling side, ending when a customer pays you. [Procure-to-pay](https://learn.ynteractive.com/content/glossary/procure-to-pay) is the buying side, ending when you pay a supplier.

### Order-to-cash vs sales pipeline

A [sales pipeline](https://learn.ynteractive.com/content/glossary/sales-pipeline) tracks deals before they are won. O2C starts once there is an order and ends with the cash.

## Tips

- Measure the days between delivery and invoice; it is often the easiest gap to close.
