# What is a meeting transcript?

A meeting transcript is a written, word-for-word record of what was said in a meeting, usually with each speaker's name and a timestamp. Most video meeting tools can create one automatically, which makes it easy to hand to AI for a summary.

## Why it matters for a small business

A transcript solves the "what did we agree?" problem. Nobody has to take notes while trying to listen, and when a client later remembers the meeting differently, there is a record. It is also the best raw material for AI: everything was said, so a good request can pull out the decisions, the tasks and the open questions in a few minutes.

But a transcript is long, messy and full of things that shouldn't travel: account details, pay discussions, side comments about people. Before you paste one into any AI tool, know your company's rules on AI and confidential data, and decide what the output is for. A summary for the team and an email to a client need different things left out.

It covers real bookkeeping work: September bank and card statements still needed, 23 uncategorized transactions, a new truck bought on August twelfth that will be set up "as equipment with a loan against it, not as an expense," and three subcontractors with no W-9 on file.

You copy the transcript from the Google Doc that Google Meet saved and paste it under a request starting "You're my client services assistant at Millbrook Accounting," asking for a summary, decisions, an action items table and open questions. ChatGPT returns three decisions and six action items, two with **Not stated** dates, which you fix: "The truck paperwork is due Friday, and Maya will send the quote by October 21."

The lesson then shows the faster route for a file: start a **New chat**, click **+**, choose **Add photos & files**, pick the transcript .docx and send a one-line request. Its closing advice is the important part: client meetings are confidential, so follow your firm's policy on AI tools, use a business account that doesn't train on your data, and leave out account numbers and tax IDs.
