A maintenance agreement, also called a maintenance plan or service agreement, is an arrangement where a customer pays, usually yearly or monthly, for scheduled service such as seasonal tune-ups, often with perks like priority booking. It is common in HVAC, plumbing and other home services.

## Why it matters for a small business

For a home service company, a maintenance agreement smooths out the seasons. Tune-ups can be booked in slower months, the customer's equipment gets looked at before it fails, and the business keeps a relationship instead of waiting for the next breakdown. Many owners see their plan members as their most loyal customers.

The tricky part is how you bring it up. Mention the plan in every message and it reads like a sales script. Never mention it and customers who would have wanted it never hear about it. Clear rules about when to mention the plan, and what you may say about it, matter even more once AI is drafting the messages.

## In a real lesson: Build an AI Follow-Up Agent for HVAC Service Calls

In the [AI Service Follow-Up Agent lesson](https://learn.ynteractive.com/content/hvac-service-follow-up-ai-agent-n8n), you build an n8n agent for Cedar Ridge Heating & Air, a made-up family-owned HVAC company. Its system message sets a precise rule: "Mention the Comfort Club maintenance plan only after a repair, and only once." It also says "Do not invent prices, discounts or warranty terms."

You then ask for follow-ups on three completed calls: Linda Morales (furnace tune-up), Tom Becker (replaced AC capacitor) and Grace Chen (new heat pump install). Under those rules, only the capacitor repair is a repair, so only Tom's message should mention the Comfort Club. Linda just had the kind of visit the plan covers, and Grace is getting an install message by email.

Notice what the agent is not told: the plan's price or what it includes. Because it is told not to invent terms, a good follow-up names the plan and invites a question, and leaves the details to the office. The agent saves each message to Google Sheets so someone can read it before it goes out.

## Common confusions

### Maintenance agreement vs warranty

A warranty is the manufacturer's or installer's promise to fix defects for a set time. A maintenance agreement is a service plan the customer buys. Some warranties require regular maintenance, which is one reason plans are popular, but check the actual warranty terms before saying so.

### Maintenance agreement vs service contract for a business

Commercial service contracts can include response-time promises, parts coverage and penalties. Those are legal agreements and worth having a professional review before you sign or offer one.

## Tips

- Write the plan's real benefits into your prompt or notes so AI never has to guess them.
- Set a frequency rule, like the lesson's "only after a repair, and only once".
- Track plan renewals with dates in a sheet, and remind members before the plan lapses.

## Frequently asked questions

**Should every follow-up mention our maintenance plan?**

Usually not. A rule like the lesson's keeps it relevant: mention it where it helps the customer, such as after a repair, and only once per message.

**Can AI write our maintenance agreement terms?**

It can draft plain-language descriptions, but the actual terms are a contract. Have the details checked by someone qualified, and keep AI-written marketing copy consistent with what the agreement really says.
