# What is a KPI (key performance indicator)?

## Why it matters for a small business

Businesses drown in numbers and starve for answers. A KPI cuts through that by picking the handful of figures that really show health for a given job. For purchasing it might be the share of orders that arrive on time. For support it might be how fast people get a first reply.

A KPI is only useful if someone will do something when it moves. Before tracking anything, ask what you would change if the number got worse. If the answer is nothing, it is a statistic, not a KPI. It also helps to define the number precisely, so two people measuring it get the same answer.

You give it late and pending purchase orders, such as Tallpine Pallet Co., PO 4471, "5 days late," and it drafts a follow-up with a reply-by date. A Google Sheet called **Vendor Follow-Ups** holds the **Vendor**, **Order**, **Issue**, **Follow-up Message** and **Due Date**.

The lesson does not compute any KPI. But look at what the sheet gives you. Every late order now has a vendor, an issue and a due date in one place. Over a few months you could count how often each vendor shows up, or how many orders were late versus pending. Those counts could become a vendor on-time KPI.

That is the honest relationship. The agent does the writing and filing, and the filing produces tidy data. Choosing which number matters, and what to do when it worsens, stays a human decision for the operations manager.

### KPI vs metric

A metric is any number you can measure. A KPI is a metric you have chosen because it signals success on a goal. All KPIs are metrics, but most metrics are not KPIs.

### KPI vs goal

The goal is where you want to get, like "ship reliably." The KPI is how you will see whether you are getting there. An [OKR](https://learn.ynteractive.com/content/glossary/okr) pairs the two by attaching measurable results to an objective.

## Tips

- Pick three to five KPIs per area. Ten is a dashboard nobody reads.
- Write the definition in one sentence, including what counts and what does not, such as "late means more than one day after the promised date."
- Review the number on a fixed schedule and write down one action for each result that moved.
