Quick answer

A job description is the written explanation of a role: its title, purpose, main duties, the skills it truly requires, nice-to-haves, schedule, location and pay. It is used to post the job, screen candidates fairly and later set expectations for the person hired.

## Why it matters for a small business

Every later hiring step leans on the job description. The posting comes from it, interview questions test its requirements and a scorecard measures candidates against its must-haves. If it is vague or bloated with requirements nobody needs, good people skip applying and interviews drift into gut feel.

It also matters after the hire. Reviews and goals refer back to it, and an outdated description causes confusion about who does what. Some states and cities require pay ranges in job postings, and the wording of requirements can raise fairness issues, so have HR or an employment attorney review descriptions before they go public.

## In a real lesson: Turn an Interview Debrief into a Scorecard and a Candidate Follow-Up (Recruiting & HR)

In the [Interview Debrief to Scorecard lesson](https://learn.ynteractive.com/content/chatgpt-interview-debrief-scorecard), the file list next to the transcript includes "Front Desk Lead - job posting.docx" for Willow Bend Physical Therapy, a made-up clinic. The lesson never opens it, but the request shows what it must contain: four must-haves, from two or more years running a front desk to training other staff.

Other details point back to it as well. Hannah says the team asked every candidate whether the seven thirty start works, and the candidate asks for about two dollars an hour over the posted range. Schedule and pay both belong in a clear description, so every candidate hears the same facts.

The [Summarize a Meeting Transcript lesson](https://learn.ynteractive.com/content/chatgpt-summarize-meeting-transcript) shows where a description begins. At the made-up Harbor Street Bakery, Priya asks about a holiday counter hire and the owner wants to see the numbers first. ## Common confusions

### Job description vs job requisition

A [job requisition](https://learn.ynteractive.com/content/glossary/job-requisition) is the internal request to approve a hire. The job description explains the role itself and is often shared publicly. The requisition usually comes first.

### Job description vs job posting

The posting is the advertisement, usually shorter and written to attract applicants. The description is the fuller record of the role that the posting is drawn from.

## Frequently asked questions

**Does a job description have to include pay?**

It depends on where you hire. Some states and cities require a pay range in postings. Check with HR or an employment attorney for the places you recruit.

**Can ChatGPT write a job description?**

It can draft one quickly from your notes. You supply the real duties, requirements and pay, then edit the draft, because generic AI wording often lists skills the role does not need.
