Quick answer

A deal stage is a named step in a sales pipeline that shows how far a potential sale has progressed, such as qualified, demo done, proposal sent, negotiating, won or lost. Each deal sits in exactly one stage, and moving it forward should require something specific to have happened.

## Why it matters for a small business

Stages make a pipeline readable. A manager can see that ten deals are waiting on proposals and only two are negotiating, and know where to help. They also make forecasts more honest, because a deal marked "negotiating" should mean the buyer is actually talking terms, not just that the salesperson feels good about it.

Stages also tell you what to say next. Someone who just had a demo needs a different message from someone whose trial ends Friday or who went quiet after seeing the price. That is why AI follow-up drafts get much better when you give the model the stage: it can match the ask to where the buyer actually is.

## In a real lesson: Build an n8n AI Agent That Writes Deal Follow-Ups

In the [AI Deal Follow-Up Agent lesson](https://learn.ynteractive.com/content/n8n-ai-agent-sales-deal-follow-ups), you build an n8n agent for Northwind Scheduling Software, a made-up company. You give it three open deals in plain words: Maria Lopez at Maple Row Cleaning "had a demo today," Sam Patel at Fernhill Lawn Care has a "trial ends Friday" and Jen Walsh at Birch Lane Grooming has been "quiet since pricing."

Each phrase is a deal stage. The system prompt tells the agent to "Match the message to the stage," keep each message under 80 words and end with one clear ask, so the post-demo note offers a trial and the quiet-after-pricing note asks a different question.

When you approve, each deal is saved to the **Deal Follow-Ups** sheet with a **Stage** column next to the message and the next step. In a CRM, that column would be the official stage field.

## Common confusions

### Deal stage vs lead status

Lead status, often set by [lead scoring](https://learn.ynteractive.com/content/glossary/lead-scoring), describes interest before a real opportunity exists. Deal stages track an opportunity once sales is actively working it.

### Deal stage vs sales pipeline

The [sales pipeline](https://learn.ynteractive.com/content/glossary/sales-pipeline) is the whole set of open deals. A deal stage is one column or step within it.

## Tips

- Define each stage by an event, such as "demo held," not by a feeling.
- Keep stages to six or fewer so everyone uses them the same way.
- Include the stage in every AI follow-up prompt.

## Frequently asked questions

**How many deal stages should a pipeline have?**

Most small teams do well with four to six, plus won and lost. More stages than that tend to be skipped or used inconsistently.

**Can AI update deal stages automatically?**

It can suggest a stage from emails or call notes. Have a person confirm stage changes, because forecasts and follow-ups depend on them being right.
