Quick answer

A customer health score is a simple rating, often green, yellow or red or a number out of 100, that shows how likely a customer is to stay, grow or leave. It combines signals you already have, such as how often they use what they bought, whether they reply, support tickets and late payments.

## Why it matters for a small business

Customers rarely announce that they are leaving. The signs show up earlier: fewer logins, unanswered emails, a skipped check-in, a late invoice. A health score puts those signals in one place so you call the at-risk accounts before renewal, instead of finding out from a cancellation. That is how you lower [customer churn](https://learn.ynteractive.com/content/glossary/customer-churn) without more sales.

It also tells you where to spend limited time. A small team cannot check in with every account every week. Sorting by health score sends attention to the red accounts first and the green accounts that may be ready for more.

## A simple three-signal health score (made-up rules)

| Signal | Green | Red |
| --- | --- | --- |
| Last reply or meeting | Within 30 days | Over 60 days |
| Open support issues | None or one | Three or more |
| Payments | On time | 30+ days late |

Score each account on the three signals. Two or more reds means call this week. Pick your own thresholds and keep them the same every month.

The [client status email lesson](https://learn.ynteractive.com/content/weekly-client-status-email-google-sheets-ai-n8n) does not calculate a health score, but it builds the habit a score depends on. Larkspur Marketing Studio, a made-up agency, keeps one row per client in a Google Sheet with Client, Contact, Email, Project, Status, Notes and Next Step columns.

Every Monday at 8am, n8n reads each row, OpenAI turns the rough notes into a short update, and Gmail saves a draft for each client. Add a Health column (green, yellow or red) to the same sheet and the weekly run puts your at-risk clients in front of you every Monday.

## Common confusions

### Health score vs NPS

[Net Promoter Score](https://learn.ynteractive.com/content/glossary/net-promoter-score) is one survey answer about whether a customer would recommend you. A health score combines several signals, and NPS can be one of them.

### Health score vs churn rate

Churn rate measures customers already lost. A health score tries to spot the ones you might lose next.

## Tips

- Start with three signals you can see today. A simple score you update beats a clever one nobody maintains.
- Let AI summarize notes and draft check-ins, but have a person decide who gets a call.
- Review the score after each lost customer: did it turn red first? Adjust the rules if not.

## Frequently asked questions

**How do you calculate a customer health score?**

Pick a few signals, such as last contact, open issues and payment timing, set a green and red threshold for each, and combine them into one rating per account. Keep the rules the same every month.

**What is a good customer health score?**

There is no universal number. A good score is one that turned red before the customers you actually lost. Check it against real cancellations and adjust.

**Can AI predict customer churn?**

Specialist tools can score risk from usage data. For a small team, AI is more useful for summarizing account notes and drafting check-ins for the accounts your score flags.
