A client status update is a short message telling a client where their case, claim, return or project stands: what has happened, what is next, what dates are set, and what you are waiting on. Good ones answer the client's actual questions before they have to ask again.

## Why it matters for a small business

Most angry client emails are really status questions that went unanswered. "Nobody has answered me in a week" is often more upsetting to a client than the slow process itself. A clear update, sent before the client chases, prevents a lot of that frustration.

The hard part is honesty about uncertainty. Professional services are full of things the firm doesn't control: a court, a carrier, the IRS, the other side. A good update says plainly what is known, what isn't, and who decides. AI can draft a clean, warm update quickly, but only from facts you give it, and it needs a check step to catch anything it smoothed over.

## In a real lesson: Reply Faster to a Client Asking for a Case Update: ChatGPT for Small Law Firms

In the [Reply Faster: Client Case Updates lesson](https://learn.ynteractive.com/content/chatgpt-client-case-update-email-law-firm), the made-up firm Harbor Street Law owes Carla Mendes an update. You paste four parts into ChatGPT: the email thread, nine numbered facts, instructions (calm and warm, apologize once, answer all three questions, under 200 words), and later a request to check every claim.

The final email shows a solid update structure. It opens with one apology: "I'm sorry we missed your Sep 21 email and didn't tell you when the deadline changed. That's on us." Then a short list under "Where things stand": the complaint filed Aug 18, served Aug 27, an extension making the answer due Oct 2, and the only court date, a case management conference on Nov 17 that is "a scheduling hearing, not a trial."

It ends with what the firm can't predict, a call offer at two specific times, and how to send her screenshots through the portal. The insurance and accounting reply lessons follow the same pattern with their own facts.

## Common confusions

### Status update vs follow-up email

A [follow-up email](https://learn.ynteractive.com/content/glossary/follow-up-email) moves a conversation forward after a meeting or job. A status update reports progress on ongoing work, often with nothing for the client to do.

### Status update vs advice

An update reports facts and dates. Recommendations about what the client should do belong in a conversation with the licensed professional, as the lesson's call offer shows.

## Tips

- Lead with what changed since the last update.
- Separate set dates from expected ones. Say "the only date set is" when it's true.
- For legal, tax and insurance matters, have the responsible attorney, CPA or licensed agent review updates as your firm requires.

## Frequently asked questions

**How often should I send clients status updates?**

Whenever something changes, and on a regular rhythm when nothing does, so the client never has to wonder. Agree on the rhythm at the start.

**Is it safe to paste client emails into ChatGPT?**

Follow your firm's policy. Use a business account that doesn't train on your data, and remove account numbers, Social Security numbers and anything the reply doesn't need.
