# What is a client portal?

A client portal is a secure, password-protected website where a business and its clients exchange documents and sensitive information, such as tax forms, signed agreements, evidence or bank details. Accounting firms, law firms and insurance agencies use them so private data doesn't travel by ordinary email or text.

## Why it matters for a small business

Email is easy to misdirect, forward and leave sitting in an inbox for years. Bank account numbers, Social Security numbers and case evidence don't belong there. A portal gives clients one safe place to send things, gives the firm a record of what arrived and when, and keeps documents organized by client.

Portals also matter for AI-drafted replies. Clients often offer to "just email the numbers" or "text the screenshots." The reply has to steer them to the portal kindly and clearly. If your facts don't say how and where to upload, an AI draft may cheerfully agree to the unsafe option, so the rule has to be spelled out.

The portal does other jobs in the same thread. Greg uploaded his W-2s and receipts there, and the finished return is posted to it for Greg and Lena to review and e-sign.

## Common confusions

### Client portal vs shared drive folder

A shared folder link can be forwarded to anyone. A portal ties access to each client's login and usually logs who uploaded or viewed what. For sensitive documents, the portal is the safer default.

### Client portal vs encrypted email

Encrypted email protects a message in transit, but the attachment still ends up in inboxes. A portal keeps the document in one controlled place.

## Tips

- Name the exact place to upload, like "Documents" or "Refund details", in every reply that asks for something.
- Add a line to your AI facts: "Never accept account numbers or evidence by email or text."
- Never paste client documents or account numbers into an AI chat. Describe what is missing instead.
