You type or upload something, such as a question, an email thread or a file, and it writes back in plain language: a draft, a summary, a table or an answer you can keep refining in the same conversation. ## Why it matters for a small business For most small businesses, ChatGPT is the first AI tool anyone touches, and it covers a lot of everyday writing: customer replies, meeting recaps, job posts, social captions, first drafts of procedures. The time saved is real, but only when you hand it the details it can't know on its own: your prices, your customers, what you can actually promise. Using it carelessly has a cost too. With no context, it fills gaps with confident guesses, and a reply that promises a date or a price nobody agreed to can go out under your name. The habits that prevent this are simple: give it facts, tell it to stick to them, and read the result before you use it. ## In a real lesson: Prompt Writing 101: Role, Context, Task, Format In [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format) you ask ChatGPT for the same thing twice. First you paste **Write an email to my customers about our new service.** and click **Send**. The answer is long and generic, with blanks like **[Your Company Name]**, because ChatGPT had nothing to go on. Then you click **New chat** and build the request in four parts for Summit Lawn Care, the made-up lawn company in the lesson: a role (the owner of a family-run lawn company in Harrisburg, PA), the context (existing weekly mowing customers, core aeration and overseeding for $149, done between September 29 and October 17), the task (a short announcement whose one call to action is to reply and book a date) and the format (under 120 words, no emoji, subject line first). The second answer is specific enough to send. The final step copies the prompt into a Google Doc called **Prompt Templates**, with **[BUSINESS]**, **[SERVICE]** and **[DETAILS]** as blanks. Chat history is not a filing system, so the prompts that work deserve a home of their own. The [OpenAI API](https://learn.ynteractive.com/content/glossary/openai-api) is how software like n8n reaches OpenAI's models, with its own account, keys and pay-per-use billing. A ChatGPT subscription does not cover API usage. ### ChatGPT vs GPT GPT is the family name of OpenAI's models, such as the gpt-5-mini and gpt-4o models picked in the n8n lessons. ChatGPT is the product built on top of them. A [Custom GPT](https://learn.ynteractive.com/content/glossary/custom-gpt) is something else again: your own configured version of ChatGPT for one job. ### "ChatGPT already knows my business" It knows what is in the current chat, what it learned in general training, and anything you set up such as custom instructions, memory or a Custom GPT.
