Quick answer

A change order is a written agreement, signed or approved by both sides, that changes the scope, price or schedule of work already under contract. It is how a "can you also do this?" becomes an official part of the job instead of free extra work.

## Why it matters for a small business

People associate change orders with construction, but any client work can use them: accounting, marketing, consulting, software and staffing. The client asks for something new, the provider writes down what will change, what it will cost and how dates move, and both sides approve it before the new work starts. Without that step, extra requests pile up and quietly become [scope creep](https://learn.ynteractive.com/content/glossary/scope-creep).

A change order also protects the client. It shows the price before the work is done, so there is no surprise on the invoice. A useful one names the original agreement it changes, describes the change in plain words, gives the cost and timing effect, and has a place for approval. If the change touches legal terms, not just scope, have an attorney look at it.

## In a real lesson: Turn a Client Meeting into Action Items and a Follow-Up Email (Accounting Firms)

In the [Summarize a Client Meeting lesson](https://learn.ynteractive.com/content/chatgpt-client-meeting-recap-accounting-firm), Millbrook Accounting, a made-up firm, holds a Q3 review with its made-up client Cedar Lane Landscaping. Near the end, Grace asks: "Would monthly bookkeeping make more sense?" Maya answers: "It might. I'll send you a quote for monthly and you can decide."

That exchange is how most changes begin: a casual request during a meeting. Switching from quarterly to monthly bookkeeping changes the scope and the fee. An accounting firm might handle it with an updated [engagement letter](https://learn.ynteractive.com/content/glossary/engagement-letter) rather than a document called a change order, but the idea is the same: put the new scope and price in writing and get approval before the new work begins.

The lesson helps with the first step. ChatGPT lists "Send Grace a quote for monthly bookkeeping" as an action item with the due date first marked "Not stated," and later October 21 once you fill it in. It also lists the switch as an open question, not a decision. That is accurate: nothing changes until Grace approves.

## Common confusions

### Change order vs scope creep

[Scope creep](https://learn.ynteractive.com/content/glossary/scope-creep) is extra work added without a formal agreement. A change order is the formal agreement that stops it. Same request, very different outcome.

### Change order vs new statement of work

A change order adjusts an existing project. A new [statement of work](https://learn.ynteractive.com/content/glossary/statement-of-work) starts a separate project. When a change is big enough, a new SOW is often cleaner.

## Tips

- Agree on a simple change process at the start of every project, so asking for one feels routine.
- Write the change order before the extra work starts, not when the invoice goes out.
- Ask AI to list every request from a meeting transcript that was not in the original scope, then decide which ones need a change order.

## Frequently asked questions

**Does a small change need a change order?**

Not every tiny tweak. Many teams agree on a threshold, such as anything that changes price or a deadline. Whatever the rule, write it down so both sides know it.

**Can a change order be approved by email?**

Often, if your contract allows it and the email clearly states the change and the price. Some agreements require a signed form. Check your contract, and ask an attorney if you are unsure.
