## Why it matters for a small business

Messages written for everyone tend to land with no one. When a marketer, a salesperson and an AI assistant all picture the same reader, say an office manager who is tired of fixing the schedule by hand, the emails, posts and pages start to sound like they come from one company that understands the problem.

A persona also helps you decide what to leave out. If the person you are writing to cares about saving an hour a week, a paragraph about technical architecture is wasted space. The best personas come from talking to actual customers and reading their emails, not from guessing. Keep it to a page, and update it when what you hear changes.

An [ideal customer profile](https://learn.ynteractive.com/content/glossary/ideal-customer-profile) describes the kind of company worth selling to. A persona describes a person, such as the office manager inside that company. For businesses that sell to consumers, like the coffee brand, the persona does most of the work.

### Buyer persona vs audience segment

A segment is a group in your list, defined by data like location or purchase history. A persona is a story about one typical member of a group, used to guide how you write to them.

## Tips

- Base each persona on at least a few real conversations or emails, and quote their own words where you can.
- Write down the problem they are trying to solve and the objection they raise most often.
- Paste a short version of the persona into your AI system prompts so drafts speak to the right reader.
