# What is a bank reconciliation?

A bank reconciliation is checking every transaction in your books against your bank or credit card statement for the same period, so the two balances agree. Anything that doesn't match, like a missing deposit, a duplicate charge or an unexplained transfer, gets found and fixed.

## Why it matters for a small business

Your bank statement is the outside proof of what actually happened to your money. If your books don't agree with it, every report built on them, from profit and loss to the cash you think you have, is off. Reconciling monthly catches errors, missed transactions and sometimes fraud while they are still easy to trace.

Reconciliation is also where loose ends surface: charges nobody can explain and transfers that don't match anything. Those become questions for the business owner. AI can help organize the list and draft the question email, but the matching itself belongs in your accounting software and with the person who keeps the books. That one line explains the whole timeline. Without the September statements, there is nothing to reconcile against, so the quarter can't be finished. The client's Jordan Pike agrees to upload them to the portal by the twentieth, and Tom says that if he has them by then, he can close the quarter by October 30.

Reconciliation's loose ends show up too: 23 uncategorized transactions, "a couple of transfers I can't match." Tom will send the list to Grace by Friday. When you paste the transcript into ChatGPT, these become rows in the action items table with an owner and a date, which is exactly the follow-up a reconciliation needs.

### Reconciliation vs categorization

Reconciling proves a transaction happened and is recorded once. [Expense categorization](https://learn.ynteractive.com/content/glossary/expense-categorization) decides what kind of expense it was. A transaction can be reconciled and still sit in "uncategorized".

### Bank balance vs book balance

They rarely match on a given day because of checks not yet cashed or deposits in transit. Reconciliation explains the difference instead of forcing the numbers to agree.

## Tips

- Reconcile every account, including credit cards and loans, not just checking.
- Ask for statements on a fixed day each month so the work doesn't stall.
- Never paste full account numbers into an AI chat. Describe transactions by date, amount and payee.
