# What is an approval workflow?

An approval workflow is a set path a request follows before it is acted on: it is submitted, checked, approved or sent back, then carried out. Automation moves the request along and does the routine checks; the approval itself stays with a named person whenever money, risk or judgment is involved.

## Why it matters for a small business

Every business has approvals, even if they live in someone's head: purchases over a certain amount, refunds, client letters, time off. When the path isn't written down, requests stall in inboxes, get approved by the wrong person or skip approval entirely. Writing the steps down and automating the hand-offs makes the process faster and more consistent.

AI fits in one specific place: the pre-check. It can read a request, compare it with the written rules and say what is missing or who needs to sign off. That saves the approver from sorting out incomplete requests. What it shouldn't do is give final approval on anything with real consequences. A good design says plainly which outcomes the AI may set and which it only recommends.

Employees submit name, email, expense details and amount through a Lovable form, and the request reaches an n8n AI agent through a webhook.

The agent applies the firm's written policy and gives each request one of three outcomes. A request without a receipt goes back to the employee. One for $100 or more is routed to a manager, because the agent may not approve it. Only a small, documented expense with a clear business purpose is marked approved. The request is logged to the **Expense Requests** sheet and the employee gets an email saying where it stands and what to do next.

In the test, the employee says the receipt is missing, so the request is sent back with instructions. The policy, the $100 line and the final payment all stay with people; the agent just keeps requests moving and complete.
