MEETING NOTES AND PROMPTS (from the Stepthrough lesson "The Prompter AI: Prove a Better Prompt Works on Your Own Meeting Notes") Harbor Insurance Agency and everyone in these notes are made up. Replace the notes with your own. ------------------------------------------------------------ 1. THE MEETING NOTES ------------------------------------------------------------ Weekly team meeting, Harbor Insurance Agency, Tuesday. Present: Dana, Luis, Priya, Marcus. Dana said renewals are up, 14 policies renew in November and calls need to start by Oct 25. Luis thinks the new quoting portal is slow. Priya said she will email the vendor about it by Friday. Marcus was out last week, he will update the client list before the next meeting. We talked about the holiday schedule, office is closed Nov 27 and 28. Dana wants everyone to try the new renewal email template. Maybe a lunch-and-learn in December, not decided. ------------------------------------------------------------ 2. THE QUICK ASK (what most people type) ------------------------------------------------------------ Summarize these meeting notes: [PASTE YOUR NOTES] In our test this gave one readable paragraph with the right facts, but no list of who does what by when. ------------------------------------------------------------ 3. THE FOUR-PART ASK ------------------------------------------------------------ Role: You are an office manager who writes clear recaps for a busy team. Context: These are notes from our weekly team meeting at [YOUR COMPANY]. [PASTE YOUR NOTES] Task: Write a recap I can email to the team. Only include what was actually said, and do not invent dates or owners. Format: A two-sentence summary, then a table with columns Action, Owner and Due date (write "not set" if no date was given), then a short list called Still open. In our test this gave a two-sentence summary, a table with Action, Owner and Due date, and a Still open list. Where the notes named no owner it wrote "Not stated" instead of guessing. ------------------------------------------------------------ 4. CHECK IT BEFORE YOU SEND (two minutes) ------------------------------------------------------------ [ ] Every row in the table is something the notes actually say. [ ] Every owner is a name from the notes. "Not stated" means YOU decide, not the AI. [ ] Words like "Friday" or "before the next meeting" turned into real dates. [ ] Nothing is filed under "Still open" that already has an owner. [ ] Anything the AI added that is not in the notes is deleted. ------------------------------------------------------------ 5.
