[AI document processing](https://learn.ynteractive.com/content/glossary/intelligent-document-processing) is software that reads documents for you: [OCR](https://learn.ynteractive.com/content/glossary/ocr) turns a scanned page into text, parsing or AI extraction pulls out the fields you need, and simple checks catch mistakes before the data is used. This page is for office managers, bookkeepers, operations and admin staff who read contracts and proposals, and retype invoices, receipts and forms. It explains the ideas behind document AI, what each module covers, and which tool fits which job.

## Why use AI to process documents?

PDFs are where office hours disappear. A 25-page vendor proposal arrives an hour before the partners meet. A contract renews automatically unless someone gives notice 90 days before the end of the term, and the clause is on page three. Version 2 of an agreement comes back with "a few small cleanups" and a fee that quietly went up. And every week, someone retypes the vendor, invoice number, date and total from a stack of invoices into the bills sheet.

Each of those jobs has a cost. Retyping 120 invoices a month is roughly a full working day. A missed renewal window can lock you into another year of a service you meant to cancel. A fee change you did not catch is paid every month until someone notices. Document AI does the reading and the typing, so a person can spend their time on the decisions instead.

## How does AI read a document?

Every tool in the course relies on the same three steps. The [OCR and parsing explainer](https://learn.ynteractive.com/content/how-ocr-and-document-parsing-work) shows them with two invoices, one digital and one scanned:

1. **Get the text out.** A PDF made by billing software already contains text. A scan or a phone photo is only a picture, so [OCR](https://learn.ynteractive.com/content/glossary/ocr) (optical character recognition) has to read it first. The result is often a [searchable PDF](https://learn.ynteractive.com/content/glossary/searchable-pdf): the same image with invisible text laid over it.
2. **Find the fields.** [Document parsing](https://learn.ynteractive.com/content/glossary/document-parsing) turns a page of text into named fields. [Parsing rules](https://learn.ynteractive.com/content/glossary/parsing-rules) take the text next to a label in a known layout ("whatever follows Invoice #"). AI [data extraction](https://learn.ynteractive.com/content/glossary/data-extraction) asks a model for each field by name and works across layouts.
3. **Check before it counts.** Do the lines add up to the total? Is this invoice number a [duplicate](https://learn.ynteractive.com/content/glossary/duplicate-invoice)? Is a required field blank? Is it over the approval limit?

Two details matter more than any feature list. OCR mistakes cluster on numbers, such as a zero read as the letter O or a comma and period swapped. And a good extractor leaves a missing field blank instead of guessing. A blank you can see is far safer than a made-up due date you cannot.

### Modules 3 to 5: read long documents fast

Module 3 uses an [AI PDF summarizer](https://learn.ynteractive.com/content/glossary/ai-pdf-summarizer) on a 25-page managed IT proposal. You ask the questions that cost money (the price, the lock-in, the way out), click each page reference to confirm the answer, and catch a fee the AI left out of a list. Module 4 does the same with [chat with PDF](https://learn.ynteractive.com/content/glossary/chat-with-pdf) on a four-page agreement and finds an auto-renewal with a 90-day notice window. Module 5 reviews a services agreement with Foxit's AI and pulls out every renewal and termination deadline with a citation.

The lesson in all three is the same: use AI to find things fast, then check them on the page. Every answer you rely on should have a page or section number you have looked at yourself.

### Modules 6 and 7: compare and sign

Module 6 compares two versions of a subscription agreement and walks through every change the compare marks, including a $150 a month increase that is $1,800 a year. That kind of side-by-side [redline](https://learn.ynteractive.com/content/glossary/redline) takes minutes instead of 40. Module 7 fills in a flat vendor setup form with Fill & Sign (text, check marks and an [e-signature](https://learn.ynteractive.com/content/glossary/e-signature)) so a client's first invoice is not held up by a printer.

### Modules 8 to 10: turn invoices into data

Module 8 sets up Docparser to pull the vendor, invoice number, date and total out of every invoice PDF with parsing rules, adds a field its template missed, and downloads the result as a spreadsheet. Module 9 builds an n8n agent that reads a receipt photo, pulls out the date, vendor and total, picks an expense category and adds a row to a sheet. Module 10 is the full workflow: invoice emails are caught, each PDF becomes text, an extractor pulls the fields without guessing, every invoice is logged, and anything over a limit goes to the owner for approval.

## Which document AI tool should you use?

Pick by the job, not the brand:

- **Read and summarize a long PDF:** an AI PDF tool such as Smallpdf or KDAN. Check every answer against its page.
- **Review a contract:** Foxit's AI for a summary and deadlines with citations, and Compare for any new version.
- **Sign a form you cannot type in:** Fill & Sign in a PDF editor.
- **Extract fields from the same layout every time:** parsing rules, as in Docparser.
- **Extract fields from varied layouts, or automate the whole flow:** AI extraction in n8n, with checks and an [approval workflow](https://learn.ynteractive.com/content/glossary/approval-workflow).

## Is AI document processing accurate enough to trust?

It is accurate enough to save you the typing, not accurate enough to skip the checks. Digital PDFs extract very reliably. Scans and photos depend on image quality, and errors land on the numbers you care about most. AI summaries are good at finding things and occasionally leave one out, which is exactly what modules 3 to 5 train you to catch.

So build the checks in from the start: totals that must add up, a duplicate check on vendor and invoice number, a review list for blank fields, and a person approving anything over a limit. With those in place, you can trust a month of invoices you did not type yourself.
