Quick answer

For HR, pick **Gemini** if your company runs on Google Workspace: it works inside the Gmail thread and the Google Doc you already have open, it comes with Workspace business plans, and Google says it doesn't train on Workspace content without permission. Pick **ChatGPT Business** if you are on Outlook or another email system, or if you want one assistant for long drafting jobs such as a job posting interview or an interview scorecard. Both write a careful reply to an employee well, and in both a person checks every promise before it is sent.

I build these routines for small HR teams and office managers who do HR on the side. This page compares the two on the HR jobs that come up every week, as of October 2026, using the made-up companies from the free lessons. Start with [Answer an Employee's Leave Questions Without Overpromising](https://learn.ynteractive.com/content/hr-leave-policy-reply): the most common HR mistake with AI is a reply that promises more than the policy does.

## How do they compare at a glance?

**ChatGPT and Gemini for HR work (prices and settings as listed by OpenAI and Google, as of October 2026)**

## Is ChatGPT or Gemini better for HR?

Neither writes better HR email in a way you would notice. The real differences are where your employee data already lives and what your company already pays for. If HR works in Gmail and Google Docs, Gemini saves the copy and paste and adds no new vendor to your privacy review. If HR works in Outlook, or the company has no Google Workspace, ChatGPT is the simpler buy, and its business plan has the admin controls an HR team needs.

Where ChatGPT pulls ahead is long, structured work: the lessons below use it for a job posting built from an interview, a scorecard from a debrief transcript, and a check table that lists every promise in a draft. Gemini can do the same jobs when you paste the material in; it just doesn't have its home-field advantage there.

## How do I answer employee policy questions with AI without overpromising?

Give the assistant the employee's message and the exact policy text, then ask it to list every promise in its draft and the line of policy behind each one. In the free [leave questions lesson](https://learn.ynteractive.com/content/hr-leave-policy-reply), Renée, the HR manager at Fernhill Architecture, gets an email from Kofi asking for three yeses: 12 weeks at full pay, extra unpaid weeks, and approved dates. ChatGPT drafts a warm reply, then the check catches the answers she can't give yet, and the reply goes out from Gmail without a promise the policy doesn't make.

If the same questions come in every week, stop answering them one by one. In the free [Airia lesson](https://learn.ynteractive.com/content/airia-hr-policy-agent-employee-handbook-questions), Maya at Northwind Partners uploads the [employee handbook](https://learn.ynteractive.com/content/glossary/employee-handbook) and builds a no-code agent that answers only from it, and says "I can't find that" when the handbook is silent. The [employee policy question reply prompt](https://learn.ynteractive.com/content/prompts/employee-policy-question-reply-prompt) is the one-off version.

## Which is better for job postings and interviews?

ChatGPT, mostly because of how the lessons use it. In the free [job posting lesson](https://learn.ynteractive.com/content/write-fair-job-posting-chatgpt-interview-prompt), Willow Bend Physical Therapy needs a Front Desk Lead. The quick prompt fills the gaps with a degree and years of supervising nobody asked for. The interview prompt asks four questions one at a time, keeps every requirement job-related and produces a posting with a real pay range. In the [interview scorecard lesson](https://learn.ynteractive.com/content/chatgpt-interview-debrief-scorecard), the panel's debrief transcript becomes a scorecard against the role's must-haves, with a quote as evidence for each score, and the request tells ChatGPT not to guess at age, family, health or anything else that isn't job-related.

Gemini can run the same prompts. If your team keeps job descriptions in Google Docs, Help me write is right there on Business Standard and above. The method matters more than the tool: true must-haves only, and evidence for every score.

## Which is better for candidate emails?

For a team on Gmail, Gemini is faster, because the reply is drafted inside the thread. The [Gemini in Gmail lesson](https://learn.ynteractive.com/content/gemini-in-gmail-summarize-and-reply) shows Summarize this email, the side panel and Help me write on a long thread. For a reply where the wrong sentence becomes a promise, ChatGPT's check step is worth the paste.

In the free [candidate status lesson](https://learn.ynteractive.com/content/chatgpt-candidate-status-update-email-recruiting), Hannah at Willow Bend has a strong candidate with another offer due Friday who asks if she got the job, if the pay will be matched and when she can start. A fast reply that says yes to all three is a promise only the hiring manager can make. The check table catches it, and the honest version still keeps the candidate warm.

## Is it safe to put employee information into ChatGPT or Gemini?

Only on a business account your company manages, and only the details the task needs. As of October 2026, OpenAI says ChatGPT Business doesn't train on your content by default, and Google says Gemini in Workspace doesn't use your content to train models without permission. Personal accounts are different: both can use chats to improve their models unless you change a setting.

Leave out medical details, Social Security numbers, home addresses and anything about a protected characteristic. Use a first name or a role instead of a full name when the draft doesn't need it. [PII](https://learn.ynteractive.com/content/glossary/pii) explains what counts as personal information, and the [AI acceptable use policy](https://learn.ynteractive.com/content/glossary/ai-acceptable-use-policy) entry covers what your policy should say about HR data.

## Can AI screen resumes for us?

It can rank them with a person making every call, which is the only way I set it up. In the free [resume screener lesson](https://learn.ynteractive.com/content/ai-resume-screener-n8n-fairness), n8n reads each applicant's PDF for a Staff Accountant role at Harbor Lane Accounting, scores it against four must-haves with the evidence quoted, ignores name, age, gender, race, photos, address and graduation years, and adds a row to Google Sheets. The AI ranks; it never rejects anyone.

Some states and cities have rules about using automated tools in hiring decisions, and the list is growing. Check with employment counsel before any AI touches screening, and read about [AI bias](https://learn.ynteractive.com/content/glossary/ai-bias) before you trust a ranking.

## Who is each one for?

### ChatGPT

HR teams on Outlook or any email system, and anyone who wants structured drafting: postings, scorecards and replies with a promise check. Most Stepthrough HR lessons use it, starting with [leave questions](https://learn.ynteractive.com/content/hr-leave-policy-reply) and [candidate replies](https://learn.ynteractive.com/content/chatgpt-candidate-status-update-email-recruiting).

### Gemini

HR teams on Gmail and Google Docs who want help inside the thread or document they already have open, with no extra vendor. Practice the Gmail routine in [Gemini in Gmail](https://learn.ynteractive.com/content/gemini-in-gmail-summarize-and-reply), then run the HR prompts from the ChatGPT lessons in Gemini.

## Key takeaways

- Gemini fits HR teams on Google Workspace; ChatGPT Business fits HR teams on Outlook or anything else.
- Both write careful employee replies; the habit that matters is checking every promise against the policy before you send.
- On business plans, neither trains on your HR data by default, as of October 2026; personal accounts are not the place for employee records.
- For hiring, let AI draft and rank with evidence, and keep a person making every decision.

## Frequently asked questions

### Is Gemini or ChatGPT better for HR?

Gemini fits HR teams that work in Gmail and Google Docs, because it works inside the thread and the document you already have open. ChatGPT Business fits teams on Outlook or another email system, or those that want one assistant for long drafting jobs. In both, a person checks every promise to an employee before it is sent.

### Gemini vs ChatGPT for HR: which is cheaper?

If your company already pays for Google Workspace, Gemini costs nothing extra on the business plans that include it. ChatGPT Business is an added $25 per user a month, or $20 billed annually, as of October 2026. Check both pricing pages before you buy.

### Can HR use the free version of ChatGPT or Gemini?

Not for employee information. Free and personal accounts can use chats to improve the models unless you change a setting, and your company can't manage them. Use the business account your company approves.

### Can ChatGPT write a job description?

Yes. It works best when it interviews you first, so it knows the real must-haves, hours and pay range. The free job posting lesson shows the interview prompt and the one rule that keeps every requirement job-related.

### Can AI answer employee handbook questions?

Yes, if it answers only from your handbook and says when the handbook is silent. The free Airia lesson builds that agent with no code, and a person still handles anything sensitive or new.
