## What is the difference between ChatGPT Projects, Gemini Gems and NotebookLM?

The difference is what each one remembers for you. A ChatGPT Project is a workspace: it groups chats, shared files and instructions so every new chat starts with the same background. A Gemini Gem is a saved assistant: a name and standing instructions, plus files if you want, that you open for one kind of task. NotebookLM is a research notebook: you add sources, and its answers are grounded in those sources with citations.

## Which one should I use for client work?

For ongoing client work in ChatGPT, a Project per client keeps that client's documents and decisions together, so a follow-up email next month starts from the right context. If you live in Google Workspace, a Gem works well for the repeated part of client work, such as the same monthly update format for every client. When the question is "what does this contract, policy or report actually say?", NotebookLM is the better fit, because you can click each citation to check the source.

Whatever you choose, follow your firm's rules about client data. For accounting, law and insurance work, check what your plan does with uploaded files, keep confidential details out of personal accounts, and never treat an AI answer about a policy or contract as the final word.

## What changed with Gems and NotebookLM in 2026?

Two changes are worth knowing. Google's Gems help page says Google plans to transition Gems to skills beginning in November 2026 on personal accounts, so the name and screens may change. And notebooklm.google now redirects to notebook.google, where the product is called Gemini Notebook; Google's help pages describe the same features, from sources and citations to audio overviews.

On the Google Workspace pricing page, Gemini Notebook is listed with basic access on Business Starter and expanded access on higher tiers. Check that page for what your plan includes.

## Do I still need good prompts if I use Projects or Gems?

Yes. Projects and Gems save your instructions, but they don't write them for you, and vague instructions get saved just as faithfully as clear ones.
