Many sales managers copy the team pipeline into the weekly report by hand every Monday. It takes an hour or more, the numbers are out of date by Tuesday, and a deal at the wrong stage can reach the owner. Coefficient (coefficient.io) is an add-on for Google Sheets that pulls data from other systems into a sheet and refreshes it on a schedule. In this free business-case lesson you use a practice copy built from real Coefficient screenshots, captured October 2026, to price the Monday copy-and-paste for a made-up sales team, launch Coefficient, import a sheet of 12 made-up deals, pick the columns, turn on a daily refresh and look at the optional alerts screen. This is my own lesson, not an official Coefficient course.

## The business case: what the Monday copy-and-paste costs

Picture Carla Mendez, who manages a four-person sales team at Keystone Advisory Group, a made-up company. Every Monday she opens the team tracker, copies the rows into the Weekly Sales Report, fixes the formats and checks the totals by eye. By Tuesday the pipeline has moved on. This week the owner asked why one deal still showed as Proposal when the seller said it had closed.

Here is the arithmetic, using example numbers you should replace with your own. Say the copy and the check take about 90 minutes every Monday. At $50 an hour that is about $325 a month, and the report is still behind the real pipeline most of the week. What Carla needs is a report that reads from the source and refreshes itself.

## Who this is for, and what you need

Sales managers, sales operations people and founders who report from a spreadsheet and do not want to write code. To follow along you need nothing: the lesson is a practice copy with made-up data. To do it for real you need Google Sheets and the Coefficient add-on. Pricing is at coefficient.io/pricing, and automatic refresh needs a paid plan, as the next section explains.

A note on screens: your Coefficient panel may look a little different from ours, and the sheet picker in your account will show your own files. We left that window out of the lesson because it lists real folders.

## Step 1: open Coefficient in your report sheet

The source is a sheet called Team Pipeline ([sample data](https://learn.ynteractive.com/content/glossary/test-data)) with 12 made-up deals and six columns: Deal, Owner, Stage, Amount, Close Date and Region. In real life this could be your team's tracker or a [CRM](https://learn.ynteractive.com/content/glossary/crm). The report is a new, empty sheet called Weekly Sales Report.

In the report sheet, open Extensions, then Coefficient, then click Launch. The first time, Coefficient asks what your department and role are, how you would rate your skill level with Sheets (from "I stick to the basics" to "I'm a spreadsheet pro") and what systems you want to pull data from. Pick what fits and click Next each time.

## Step 2: import the pipeline

The Coefficient panel lists Create Agent, Import, Export, Monitor, Sheet Assistant and Snapshot. Click Import. Under Import from, the choices are Files (Google Sheets, Excel and [CSV](https://learn.ynteractive.com/content/glossary/csv)), Connect Any API, Add Connection and suggested sources such as Salesforce, MySQL, Google Analytics 4, HubSpot and Tableau. Our pipeline is in another Google Sheet, so choose Files, then Google Sheets.

The first time, a box says Let's Connect to Google Drive and asks you to authorize Coefficient. Read what Google asks you to allow before you agree, then click Authorize. A Choose a Sheet window opens, where you pick Team Pipeline (sample data).

The Import Google Sheets panel then shows the source sheet and three settings: Tab (Sheet1), Range (Entire Tab) and Header (First Row). Those defaults suit this data. Click Next.

## Step 3: choose the columns and import

Coefficient reads the sheet and shows a checklist headed 6 of 6 Columns: Deal, Owner, Stage, Amount, Close Date and Region, all ticked. Untick a column the report does not need. Below it, an optional Filters section can limit which rows come in. Click Import.

A short Importing data from Google Sheets message plays, and a new tab named Team Pipeline (sample data) appears. Row 1 is a Coefficient header that reads Google Sheets Import, Last updated just now, with the 12 deals underneath.

## Step 4: turn on the daily refresh

Coefficient then says Import Successful and asks Do you want to auto-refresh this data? The choices are Hourly, Daily and Weekly, with a time. We chose Daily at 9:00 AM and clicked Yes, refresh daily at 9:00 AM. The import now shows a Refresh Schedule switched on, Daily at 9:00 AM.

The pricing page says the Free plan has manual refresh, Starter adds daily auto data refresh, Pro adds hourly refresh, and Coefficient offers a 30-day free trial of Pro. Check coefficient.io/pricing for current plans before you plan around it.

## Optional next step: Slack or email alerts

After the import, Coefficient offers Get Slack or email alerts, described as a screenshot of your sheet data delivered right to Slack or email. Click Create alert and you reach an Agentic Alerts screen headed Turn your spreadsheet data into a visualized alert, with three points listed: AI-generated images using your data, Send to Slack, Teams or email, and Real-time updates or on a schedule.

We stopped there and did not create an alert, so this lesson cannot tell you how an alert behaves or what it costs to run. Treat it as a next step to explore on your own.

## Mistakes to avoid

- Starting with the real CRM or a client list. Practise on a copy with made-up data first.
- Authorizing Google Drive without reading what Google asks you to allow.
- Assuming the daily refresh is on the Free plan. The pricing page lists manual refresh for Free.
- Importing columns the report does not need. Untick them, or use the optional Filters.
- Expecting the report to be right if the source sheet is wrong. A refresh copies what is there.

## Step by step: Coefficient: Pull Live Pipeline Data into Google Sheets and Auto-Refresh It Daily

All 23 steps of the interactive module, in order. In the module you watch each one, then do it yourself in a practice copy that checks your work.

### 1. The Monday copy-and-paste

1. **Read the message.** Carla Mendez manages a four-person sales team at Keystone Advisory Group (made up). Every Monday she copies the team pipeline into the Weekly Sales Report by hand. This week the report went to the owner with a deal at the wrong stage, because the pipeline had changed since she copied it. Click the **message**.
2. **Put a price on it.** Copying, tidying and checking the numbers takes **about 90 minutes every Monday**. At $50 an hour, that is **about $325** a month, and the report is already out of date by Tuesday. These are example numbers, so swap in your own. Click the **total**.
3. **Meet Coefficient.** Coefficient (coefficient.io) is a Google Sheets add-on that pulls data from other systems into a sheet and refreshes it on a schedule. The practice uses a sheet of 12 made-up deals, so you can follow every click with no real data. The screens are real Coefficient screenshots, captured October 2026. Click the **Coefficient** card.

### 2. Open Coefficient in your sheet

4. **Look at the source data.** This is the **source sheet**, "Team Pipeline (sample data)". It holds 12 made-up deals with **Deal, Owner, Stage, Amount, Close Date** and **Region**. In real life this would be your team's tracker, or a CRM such as Salesforce or HubSpot. A second, new sheet, **Weekly Sales Report**, is where the live copy will go. Click the **deals**.
5. **Launch Coefficient.** In the **Weekly Sales Report** sheet, open **Extensions**, then **Coefficient**, then click **Launch**. The Coefficient add-on has to be installed in Google Sheets first. Click **Launch**.

### 3. Answer the first-time questions

6. **Tell it about yourself.** The first time, Coefficient asks **what is your department** and **what is your role**. Pick the closest match. The department list includes Sales, Marketing, Customer Success, Operations and Finance. Click the **two drop-downs**.
7. **Rate your Sheets skill.** Next it asks **how would you rate your skill level with Sheets?**, from "I stick to the basics" to "I'm a spreadsheet pro". There is no wrong answer. Pick one and click **Next**.
8. **Say which systems you use.** **What systems would you like to pull data from?** lists popular choices such as Salesforce, HubSpot, Airtable, Notion, MySQL and GA 4, and says you can change this any time. Pick what fits, then click **Next**.

### 4. Import the pipeline

9. **Choose Import.** The Coefficient panel opens on the right of your sheet. It lists **Create Agent, Import, Export, Monitor, Sheet Assistant** and **Snapshot**. To bring data in, click **Import**.
10. **Pick Files.** Under **Import from**, the choices are **Files** (Google Sheets, Excel & CSV), **Connect Any API**, **Add Connection**, and suggested sources such as Salesforce and HubSpot. Our pipeline is in another Google Sheet, so click **Files**.
11. **Pick Google Sheets.** Files offers **Google Sheets, CSV** and **Excel**. Click **Google Sheets**.
12. **Allow Google Drive access.** The first time, a box says **Let's Connect to Google Drive** and asks you to authorize Coefficient. Read what Google asks you to allow before you agree. Click **Authorize**. A **Choose a Sheet** window then opens, where you pick **Team Pipeline (sample data)**. We leave that window out because it lists real folders, so you will see your own files there.
13. **Check Tab, Range and Header.** With the sheet chosen, the **Source Sheet** box shows **Team Pipeline (sample data)** and three settings: **Tab** is Sheet1, **Range** is Entire Tab and **Header** is First Row. Those suit our data. Click the **three settings**.
14. **Click Next.** Click **Next**.
15. **Choose your columns.** Coefficient reads the sheet and lists **6 of 6 Columns**: Deal, Owner, Stage, Amount, Close Date and Region, all ticked. Untick any column the report does not need. Below it, an optional **Filters** section can limit which rows come in. Click the **column list**.
16. **Click Import.** Click **Import**.
17. **See the data land.** An **Importing data from Google Sheets** message plays, and a new tab named **Team Pipeline (sample data)** appears. Row 1 is a Coefficient header that reads **Google Sheets Import, Last updated just now**, and the 12 deals fill in underneath. Click the **header**.

### 5. Keep it fresh automatically

18. **Turn on auto-refresh.** **Import Successful!** Coefficient asks **Do you want to auto-refresh this data?** with **Hourly, Daily** and **Weekly**, and a time. We chose Daily at **9:00 AM**. Click **Yes, refresh daily at 9:00 AM**. Automatic refresh is a paid feature, so check the pricing step at the end.
19. **Check the refresh schedule.** The import now shows a **Refresh Schedule** switched on, **Daily at 9:00 AM**. Change a deal in the source sheet and the report copy follows at the next refresh, with no Monday copying. Click the **schedule**.

### 6. Optional next step: alerts

20. **See the alerts offer.** Coefficient then offers **Get Slack or email alerts**: "a screenshot of your sheet data delivered right to Slack or email". This is optional, and we did not set one up. Click **Create alert** to see where it leads.
21. **Read the Agentic Alerts screen.** The next screen is **Agentic Alerts**: "Turn your spreadsheet data into a visualized alert!" It lists **AI-generated images using your data**, **Send to Slack, Teams or email** and **Real-time updates or on a schedule**. We stopped here and did not create an alert, so this lesson cannot tell you how an alert behaves. Treat it as a next step to explore. Click the **list**.

### 7. What it costs

22. **What this saves you.** Click **What this saves you**.
23. **Check the pricing.** On coefficient.io/pricing (read 16 October 2026), **Free is $0 a month** with 3 data sources, a 5,000-row import limit and manual refresh. **Starter is $49 a month billed annually** ($59 month to month) and adds daily auto data refresh. **Pro is $99 per user a month billed annually** ($119 month to month) and adds hourly refresh. The page also offers a 30-day free trial of Pro. Click the **pricing** card.
