Quick answer

Add AI to an [automation](https://learn.ynteractive.com/content/glossary/automation) only where a step has to read, write or judge words that change every time, like sorting an email by what it says or drafting a reply. Anything that is the same every time, like copying a form into a sheet or sending a reminder on a date, stays a plain rule. Anything involving money, a promise to a client or a judgment call you wouldn't hand to a new hire stays with a person. That quick test, and the safe shape of an AI automation, are the core of the free [When to Add AI to an Automation](https://learn.ynteractive.com/content/when-to-add-ai-to-automation) lesson, which works on plain diagrams for n8n, Make and [Zapier](https://learn.ynteractive.com/content/glossary/zapier-zap) alike.

The example is Harbor Lane Bookkeeping, a made-up firm whose office manager, Priya, wants help with the client inbox.

## What is the one question to ask about each step?

Is it the same every time?

- **Yes:** use a plain rule. Rules are fast, never make things up, and cost nothing extra to run.
- **No, it has to read, write or judge messy words:** an AI step helps.
- **It involves money, a client promise or a judgment call:** a person decides.

## How did the lesson sort six real office jobs?

| Job | Kind | Why |
| --- | --- | --- |
| Copy every website inquiry into the client tracker | Plain rule, no AI | Same steps every time, no judgment |
| Sort incoming emails into new client, billing question or documents | AI step | People word things a hundred ways, so a keyword rule misses some |
| Send a reminder 3 days before each quarterly tax deadline | Plain rule, no AI | A date and a template: a [schedule trigger](https://learn.ynteractive.com/content/glossary/schedule-trigger) handles it |
| Draft a personal reply to a client's question | AI step | Writing from messy words is what AI is good at. Save it as a draft |
| Pull the total and due date out of a vendor invoice PDF | AI step | Every vendor lays invoices out differently. Check totals before you pay |
| Decide whether a client gets a refund | A person decides | Money and a client relationship. AI can sum up the history |

Three of the six need AI. That ratio is a good reminder: an automation is mostly plain rules.

## What is the safe shape of an AI automation?

Five parts, top to bottom:

1. **Trigger:** a new email arrives in the client inbox. No AI is needed to notice an email.
2. **AI step:** read the email and return one label (new client, billing or documents) and a short draft reply.
3. **Rule:** IF the label is billing, go one way; otherwise go the other.
4. **Person:** Priya reads the draft and approves it.
5. **Action:** save the reply as a Gmail draft in the client thread. Draft, not send.

This keeps the AI to one job and keeps a person in charge of anything a client will see. The [human in the loop](https://learn.ynteractive.com/content/glossary/human-in-the-loop) entry explains the idea, and human-in-the-loop AI goes further.

## Frequently asked questions

**Doesn't adding AI to every step make an automation smarter?**

No. It makes it slower, adds a cost on every run, and adds a chance of a wrong answer where a rule would never be wrong. The lesson's point is to add AI on purpose, only where a step has to read, write or judge messy words.

**When is a keyword rule not enough?**

When people word the same thing in many ways. A keyword rule for "invoice" misses the client who writes "the bill you sent". Sorting emails by meaning is the lesson's first example of a job that needs an AI step.

**Why should the AI step pick from a fixed list of labels?**

So the next step can rely on the answer. A rule can route "billing" reliably. It can't route a free-form paragraph. In the lesson, the AI must return one of three labels: new client, billing or documents.

**What should the AI step's job be?**

One clear job. The lesson's AI step reads the email and returns a label and a short draft reply, nothing more. Small, focused AI steps are easier to check and cheaper to run.

**What decides what happens after the AI step?**

A plain rule acting on the AI's answer: an [IF node](https://learn.ynteractive.com/content/glossary/if-node) in n8n, a router in Make, or a filter in Zapier.

**Should an AI automation send emails on its own?**

Not while you are still testing it. The safest last action is to save a draft for a person to read and send. In the lesson, Priya approves the draft and the reply is saved as a Gmail draft in the client thread.

**How does each tool add the AI step?**

**n8n:** an OpenAI node for one task, or the AI Agent node with a chat model, memory and tools.**Make:** the OpenAI (ChatGPT, Sora, Whisper) module, for example **Generate a response**.**Zapier:** the ChatGPT (OpenAI) app, for example **Conversation**, or AI by Zapier, its built-in AI step. The lesson's names come from each vendor's app in October 2026.

**What is the "second bill"?**

The AI model is paid for separately from your automation tool. With the OpenAI app in Make or Zapier, or an OpenAI node in n8n, you paste an [API key](https://learn.ynteractive.com/content/glossary/api-key), and OpenAI bills that key per use, separately from any ChatGPT plan. Check each provider's own pricing page for current terms.

**Can AI read invoices in an automation?**

Yes, the lesson marks pulling the total and due date from a vendor invoice PDF as an AI step, because every vendor's layout is different. Check the totals before anyone pays.

**Do I need to know triggers and actions first?**

It helps. The [triggers, actions and data mapping FAQ](https://learn.ynteractive.com/content/blog/automation-triggers-actions-faq) covers the three ideas this lesson builds on, and the free [Automation Basics lesson](https://learn.ynteractive.com/content/automation-triggers-actions-mapping) teaches them in a few minutes.

**What should I do after the lesson?**

List five repeat jobs in your office and mark each one: plain rule, AI step or a person decides. For one AI job, write the AI step's single task and its fixed list of answers. Decide who checks the result before a client sees it, and make the last action save a draft. Then build it in your course's tool.

## Key takeaways

- Ask of every step: is it the same every time? If yes, it's a rule.
- AI earns its place only where a step has to read, write or judge messy words.
- Money, client promises and judgment calls stay with a person.
- Give the AI step one job and a fixed list of answers, and let a rule act on them.
- Save drafts, not sends, until you trust the results.
