n8n is an [automation](https://learn.ynteractive.com/content/glossary/automation) tool that connects the apps a business already uses, like Gmail, Google Sheets and OpenAI, into workflows that run on their own when something happens. This guide is for owners and office staff who keep hearing the name and want to know what it does before spending any money. ## What does n8n actually do?

n8n runs a chain of steps for you every time a starting event happens, such as a new email, a form submission or 7am on a weekday. Each chain is called a workflow. You build it on a canvas by adding steps and connecting them, mostly by clicking and picking from dropdowns.

A typical workflow reads like a sentence: "When a booking form is submitted, add a row to the bookings sheet, then send the customer a confirmation email." Once published, it runs every time.

## What are workflows, nodes and triggers in n8n?

A workflow is the whole automation, a node is one step in it, and a trigger is the first node, the event that starts the workflow. These three words cover most of what you'll see in n8n.

- **Workflow:** everything on one canvas. You start one with **Create workflow**.
- **Node:** one step, like **Google Sheets: Get row(s) in sheet**, **Filter** or **Gmail: Send a message**. You add the next node with the **+** after the previous one.
- **Trigger:** the first node, added with **Add first step**. The Stepthrough lessons use **On a schedule**, **On chat message**, **On webhook call**, a [Gmail trigger](https://learn.ynteractive.com/content/glossary/gmail-trigger) called **On message received**, and a form that comes with a template.

One idea makes n8n click: a node runs once for every item it receives. In the [Daily Job Alerts](https://learn.ynteractive.com/content/n8n-daily-job-alerts-google-sheets-gmail) lesson, the Google Sheets node reads six rows, the Filter passes five, and one Gmail node sends five emails, each to a different tech. You never write a loop.

## What are credentials in n8n?

A credential is a saved connection that lets n8n use one of your accounts, such as Gmail, Google Sheets or an [OpenAI API](https://learn.ynteractive.com/content/glossary/openai-api) key. You create one from a node's **Credential** dropdown with **Create new credential**.

For Google accounts on n8n Cloud, you click **Sign in with Google**, pick the account, tick the permissions Google lists and click **Continue**. n8n saves the credential, so the next workflow can reuse it from the dropdown instead of signing in again. Gmail and Google Sheets each get their own credential.

## What does Publish mean in n8n?

Publish turns a workflow on, so it runs by itself whenever its trigger fires. Until you click **Publish**, a workflow only runs when you test it.

Testing comes first. **Test step** runs one node, and **Execute workflow** (or **Test workflow**) runs the whole thing once while you watch. After a run, each node shows a green check and the lines between nodes show how many items passed through. When the results look right, click **Publish**. A saved workflow is not the same as a published one.

## What can n8n do for a small business?

n8n handles repeated office tasks that follow the same steps every time, with or without AI. Three examples from the free lessons, each built for a made-up business:

The template example shows that you don't have to start from a blank canvas: the n8n gallery has thousands of free workflows, and you import one with **Use for free**. The job alerts example shows that plenty of useful automations need no AI at all. The agent example shows what AI adds: a step that can read, write and decide, then use tools like Google Sheets.

## Does n8n use AI?

n8n can use AI, but it doesn't have to. AI comes in through the **AI Agent** node, which needs a chat model such as the **OpenAI Chat Model**.

An n8n agent has a few parts: a trigger, the AI Agent with a **System Message** saying who it works for, a chat model to think with, **Simple Memory** to remember the conversation, and one or more tools, like the **Google Sheets Tool**. ## How much does n8n cost?

n8n Cloud is a paid service after a free trial, or you can self-host n8n on your own server. AI steps add a separate cost: the OpenAI API is pay-as-you-go and billed apart from any ChatGPT plan, and the lessons suggest starting with about $10 of credit.

A workflow with no AI, like the job alerts or the booking template, only needs n8n and the Google account you already have. Check n8n's and OpenAI's pricing pages for current prices before you commit. The Stepthrough lessons themselves are free and run in practice copies, so nothing is sent or billed while you learn.

## Who should use n8n, and who should start with ChatGPT?

n8n fits a task that repeats daily with the same steps and touches apps you already use. If your problem is writing one good email or summarizing one meeting, start with ChatGPT instead.

n8n is a good next step if:

- Someone copies data from one app to another every day, like jobs from a sheet into emails.
- Requests arrive through a form or inbox and each one needs the same handling.
- You'd be comfortable spending an hour building and testing before it saves time.

Start with ChatGPT if you mostly need help with writing, thinking or one-off documents.
