Quick answer

To summarize a long [email thread](https://learn.ynteractive.com/content/glossary/email-thread) with ChatGPT, expand every message in Gmail, copy the whole thread, paste it under one line that says what it is and that it's oldest message first, then ask for a short summary plus three lists: what the other person asked, what has been promised, and what is still unanswered. That shape tells you what to reply to, not just what happened. The free lesson [Reply Faster: Customer Emails](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails) practices the copy-and-paste routine on a messy four-message thread, and [Reply Faster: Client Refund Emails](https://learn.ynteractive.com/content/chatgpt-reply-client-refund-emails-accounting) does it for an accounting firm.

This guide is for anyone who inherits a thread, comes back from time off, or needs to answer a client who has written four times.

## How do I copy a whole email thread from Gmail?

Expand the thread first, then copy all of it. Gmail folds older messages in a thread, so copying without expanding misses most of the conversation. The steps from the lesson:

1. Open the thread.
2. Click **Expand all**, the double-arrow icon at the top right of the thread.
3. Select the messages and press **Ctrl+C**, or right-click and choose **Copy**.
4. Switch to ChatGPT and [start a new chat](https://learn.ynteractive.com/content/glossary/new-chat).

The glossary entry on [email threads](https://learn.ynteractive.com/content/glossary/email-thread) explains how Gmail groups a conversation and gives it a thread ID.

## What should I paste into ChatGPT?

The thread, under one line that says what it is and which order it's in. The lesson's opening line is "Here is an email thread between my bakery and a customer, oldest message first." That single sentence matters: it tells ChatGPT who is who and which message is the latest, so it doesn't mistake an old question for a new one.

If the thread is long, put it inside clear markers, such as `<thread>` and `</thread>`, so ChatGPT keeps your request and the emails apart. [What Are Delimiters in a ChatGPT Prompt?](https://learn.ynteractive.com/content/blog/delimiters-in-chatgpt-prompts) explains why that helps.

## What prompt gets a useful thread summary?

Ask for the parts you need to act on, and tell ChatGPT not to fill gaps. A [prompt](https://learn.ynteractive.com/content/glossary/prompt) you can save and reuse:

```text
Here is an email thread between [MY BUSINESS] and [WHO], oldest message first.
<thread>
[paste the thread]
</thread>
Give me:
1. A three-sentence summary of where things stand
2. Every question they asked, and whether anyone answered it
3. Every promise or commitment we made, with the date it was made
4. What is still open, and who is waiting on whom
Only use what's in the thread. If something isn't stated, write "Not stated".
```

The "Not stated" rule comes from the meeting summary lesson, and it's just as useful here. A summary that guesses is worse than one that admits a gap.

## Why ask for unanswered questions separately?

Because that's usually what the other person is upset about. In the [Reply Faster: Customer Emails](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails) lesson, the customer's last message says, "I haven't heard back about the lemon or the allergy question either." A plain summary might say "the customer changed the flavor." A list of unanswered questions shows three things the reply must cover: the pickup date, the flavor change and the nut allergy.

The [accounting version](https://learn.ynteractive.com/content/chatgpt-reply-client-refund-emails-accounting) has the same pattern. The client asks about his refund date, whether a file he sent in August was the right form, and whether he can email new bank details. One of his emails also went unanswered. Listing the questions and the missed email up front makes the reply straightforward.

## Why list promises already made?

So your reply doesn't contradict them, and so you catch mistakes. In the bakery thread, an earlier email confirmed the wrong pickup day. A "promises made" list puts that error in front of you before you write back.

It also protects you when a thread passes between people. If a colleague already promised a call-back by Friday, you want to know before you promise Monday.

## How do I turn the summary into a reply?

Stay in the same chat and give ChatGPT your facts. The lesson's next step pastes a numbered list headed "Facts (only promise what is here):" and instructions for the reply: the tone, the questions to answer, a word limit, no subject line because it's a reply in the same thread, and "Don't invent details or promise anything that isn't in the facts."

Then ask ChatGPT to check the draft:

```text
Check that reply against my facts. Make a table of every promise or claim in it and the fact that backs it up. Flag anything the facts don't support.
```

In the lesson, five of six claims match a fact and the allergy line doesn't. You ask for one specific fix, copy the final reply with the **Copy** button, click **Reply** in Gmail and paste it. [How to Respond to an Angry Customer Email](https://learn.ynteractive.com/content/blog/reply-to-angry-customer-email) covers the tone side.

## What should I leave out of the paste?

Anything the summary doesn't need, especially account numbers, ID numbers and long signature blocks with phone numbers. In the accounting lesson, the firm's rule is to never send bank account numbers by email at all, and the reply directs the client to the secure portal instead.

Follow your company's policy on AI tools and use a business account that doesn't train on your data for client email. [Is It Safe to Paste Client Emails into ChatGPT?](https://learn.ynteractive.com/content/blog/is-it-safe-to-paste-client-data-into-chatgpt) goes into the details.

## Key takeaways

- In Gmail, click Expand all before copying a thread, or ChatGPT only sees the latest messages.
- Paste the thread under one line that says who it's between and that it's oldest message first.
- Ask for a short summary, every question asked, every promise made and what is still open, with "Not stated" for gaps.
- Listing unanswered questions shows what the reply must cover; listing past promises stops the reply contradicting them.
- To reply, add your facts, ask ChatGPT for a draft, then have it check every claim against those facts before you send.

## Frequently asked questions

**Can ChatGPT summarize a Gmail thread directly?**

In the lessons you copy the thread from Gmail and paste it into ChatGPT, which works with any email app. Expand all messages first so nothing is missed.

**How long a thread can I paste into ChatGPT?**

Long threads usually fit, but very long ones may be cut short. If a thread is huge, paste the most recent part and a short note about the earlier history.

**Should I remove signatures before pasting?**

It helps. Signatures add length and often contain phone numbers ChatGPT doesn't need. Keep the names so it knows who said what.

**What's the best way to catch up on many threads after time off?**

Summarize the threads where someone is waiting on you first. How to Catch Up on Email After Vacation covers the whole inbox.
